Free Salary Certificate Templates

A salary certificate is a letter issued by an employer, on company letterhead, confirming an employee’s designation, joining date, and salary. Employees request one when a third party needs proof of income — a bank assessing a loan, an embassy processing a visa, or a landlord reviewing a tenancy application. The free templates below are editable MS Word files, and beneath them you’ll find sample wording, a filled-in example, and the details that decide whether a bank accepts the certificate or sends it back.

Who Issues It, and Why People Need It

The employer issues it; the employee requests it. In most organizations the request goes to HR or the accounts department, and the certificate is prepared, signed by an authorized person, stamped, and handed over — usually within a few working days.

The common reasons employees ask for one:

  • Bank loans and mortgages — lenders use it to verify income and assess repayment capacity, generally alongside recent payslips and bank statements.
  • Credit card applications — proof that income meets the issuer’s threshold.
  • Visa applications — embassies frequently require confirmation of employment and salary, and often want the applicant’s leave dates confirmed in the same letter.
  • Rental agreements — landlords and agents checking that rent is affordable.
  • School and university admissions, where fee assistance or income declarations are involved.

Because the certificate is written for an outside reader, it should say only what that reader needs. Employment details and salary, yes — performance, conduct, and internal matters, no.

What a Salary Certificate Must Contain

  • Company letterhead — name, address, contact details, and registration number where applicable. A salary certificate on plain paper is routinely rejected.
  • Date of issue and a reference number for the employer’s records.
  • Addressee — “To Whom It May Concern,” or the specific bank or embassy if they’ve asked for it to be addressed to them.
  • Employee’s full name, exactly as it appears on their identity documents, plus employee ID.
  • Designation and department.
  • Date of joining, and employment type — permanent, contract, or probationary.
  • Salary details — the breakdown of basic pay and allowances, total deductions, and net salary. State the currency and the period (per month or per annum).
  • Net salary in words as well as figures.
  • Mode of payment — bank transfer with the account reference, or cash. Lenders often check this against the bank statements they’ve also asked for.
  • Purpose line, where required — “issued on the employee’s request for the purpose of a home loan application.”
  • Authorized signature, with name and designation typed beneath, and the company stamp or seal.

Two lines in that sample earn their place. The purpose statement tells the reader why the letter exists and limits what it’s being used for. And the disclaimer — that the certificate isn’t a guarantee — is standard practice; without it, some employers worry a salary letter could be read as an undertaking about future employment.

Salary Certificate, Salary Slip, or Employment Certificate?

Three documents that overlap, and institutions ask for them by name — so it’s worth knowing which one is being requested:

  • Salary certificate — issued on request, on letterhead, certifying designation, tenure, and salary for an outside reader. One letter, produced when needed.
  • Salary slip (payslip) — issued every pay period to the employee, showing that month’s earnings and deductions. Lenders usually want the last three to six of these alongside a salary certificate, because slips show the pattern and the certificate confirms the position.
  • Certificate of employment — confirms that someone is or was employed, with dates and designation. It may omit salary entirely, which is exactly why some institutions ask for a salary certificate instead.

What Banks and Embassies Actually Check

Most rejected salary certificates fail on process rather than content:

  • Letterhead, signature, and stamp. All three, or it doesn’t count. A scanned signature is weaker than an ink one; an unstamped letter is often refused outright.
  • Recency. Many lenders won’t accept a certificate more than one to three months old. Request it close to when you’ll submit it, not in advance.
  • Consistency with your other documents. The net figure should reconcile with your payslips and the credits on your bank statement. Discrepancies are the most common cause of queries — and where salary is partly paid in cash, expect to be asked about the difference.
  • Named addressee. Some institutions insist the letter be addressed to them specifically rather than “to whom it may concern.” Ask before your employer prints it.
  • A verifiable contact. Include the HR contact’s name, designation, and a direct line or official email — verification calls are routine, and a certificate with no traceable issuer is a weak document.

Frequently Asked Questions

What is a salary certificate?

A letter from an employer, on company letterhead, certifying an employee’s designation, date of joining, and salary. It’s issued on the employee’s request and used as proof of income by banks, embassies, and landlords.

Who issues a salary certificate?

The employer — usually HR or the accounts department — signed by an authorized person and stamped with the company seal. Employees request it; they don’t prepare it themselves.

What is the difference between a salary certificate and a salary slip?

A salary slip is the monthly statement of earnings and deductions issued to the employee each pay period. A salary certificate is a one-off letter issued on request, addressed to an outside reader, certifying employment and salary. Lenders commonly ask for both.

How do I request a salary certificate from my employer?

Write to HR stating the purpose (loan, visa, tenancy), who it should be addressed to, and whether the recipient requires a specific format or particular details such as leave dates. Giving the purpose up front avoids a second request when the bank returns the first letter.

Does a salary certificate show gross or net salary?

Ideally both, with the breakdown in between — basic pay, allowances, deductions, and the net figure. Lenders assess affordability on net income, so a certificate showing only gross often prompts a follow-up.

How long is a salary certificate valid?

There’s no fixed expiry, but most banks and embassies treat anything older than one to three months as out of date. Request it shortly before you need to submit it.

Can a salary certificate be issued for a cash-paid salary?

Yes — state the mode of payment as cash rather than leaving it blank. Be aware that lenders relying on bank statements to corroborate income will scrutinize cash salaries more closely, and may ask for additional evidence.
