A Christmas poster does one of two jobs: it tells people about something happening — a fair, a carol service, an office party — or it’s simply a decorative print for a wall, a door, or a mantelpiece. The free templates below are editable MS Word files you can fill in and print at home, and beneath them you’ll find the layout rules that make an event poster work, wording ideas for the decorative kind, and how to print both so they look like more than a sheet of A4.

What an Event Poster Has to Do

If the poster is promoting something, it has exactly five questions to answer, and every design decision comes after them:

What — the event, named clearly. “Christmas Fair,” not “Festive Fun.”

When — day, date, and time. Include the day of the week; people remember “Saturday” more reliably than “13th.”

Where — venue name and enough of an address to find it.

How much — entry price, or “free entry,” which is worth stating loudly because people assume there’s a charge.

Who to contact — a phone number, email, or short web address for tickets and questions.

Everything else — snowflakes, holly, a photograph of last year’s event — is decoration. Decoration helps a poster get noticed, but a poster that gets noticed and doesn’t say where the event is has failed at the only thing it was for.

The Three-Metre Test

Here’s the check that separates posters that work from posters that don’t, and it takes twenty seconds.

Print it. Pin it to a wall. Walk back three metres and look at it.

You should be able to read what the event is and when it’s happening from there. If you can’t, the poster will be walked past in a corridor, a shop window, or a village hall noticeboard — which is where posters live. Most amateur posters fail this test the same way: the artwork is large and beautiful, and the date is in 11-point text at the bottom.

The fix is hierarchy. The event name should be the biggest thing on the page, the date and time the second biggest, the venue third, and everything else small. If that means cropping the snowman, crop the snowman.

Christmas Fair Poster Example

ST MARK’S PRIMARY SCHOOL

CHRISTMAS

FAIR

Saturday 13 December

11am – 3pm

School Hall, Mill Lane

Parking on site · Step-free access

Craft stalls · Tombola · Cake stall
Grotto visits · Mulled wine
Carols by the school choir, 1pm

FREE ENTRY

    Grotto tickets £3 · book at stmarks.example/fair
Enquiries: 01000 000204

Read that from across a room and you get the event, the date, and the venue. Everything else — the stalls, the grotto price, the phone number — is there for the person who has already stopped to look. That’s the correct order of priority, and it’s what the three-metre test is checking.

Wish and Decorative Posters

The other kind of Christmas poster isn’t advertising anything. It goes on a front door, above a fireplace, on a child’s bedroom wall, or in a shop window — a printed decoration with a message on it.

These follow different rules. Readability from three metres matters less, so script lettering and heavier artwork work well. What matters more is that the message is short: a poster with a paragraph on it reads as a notice, while a poster with four words on it reads as a decoration. Print two or three and frame them, or use them as the backdrop for a photo corner at a family gathering.

They also make simple gifts — a printed and framed poster with a family name and the year costs very little and gets kept. If you’d rather send something, our card templates cover the foldable format, and postcards work well for short seasonal notes.

Wording Ideas

Warm and traditional
Merry Christmas and a Happy New Year · Peace, love and joy this Christmas · Wishing you a warm and merry Christmas · Joy to the world

For the home or door
Merry Christmas from the [family name] family · All are welcome here · Believe · Home for Christmas · Est. [year] — the [name] family Christmas

Lighter in tone
Merry everything and a happy always · Sleigh what? · Warning: excessive festive cheer · Milk and cookies served here

Non-religious or mixed gatherings
Season’s greetings · Happy holidays · Warm wishes for the season · Peace and goodwill

Whichever you choose, keep it to one line where you can. The shorter the message, the larger it can be set, and a poster’s impact comes mostly from scale.

Design Choices

Colour. Red and green is the default and it works, but it’s worth knowing the alternatives: navy and gold, forest green and cream, white and silver, or burgundy and warm grey all read as Christmas without looking like everyone else’s poster.

Fonts — two maximum. A display or script face for the headline and a plain one for the details. Three or more fonts on a page is the single most common reason a home-made poster looks home-made.

Leave white space. Filling every corner with holly makes the text harder to find. Empty space around the headline is what makes it feel deliberate.

Mind the contrast. Gold text on cream and pale grey on white both disappear at a distance. If you’re unsure, convert a copy to greyscale — if it’s hard to read in grey, it’s low contrast in colour too.

One focal image. A single strong element — a tree, a wreath, a star — beats a collage of small ones.

Printing and Displaying

A4 for noticeboards, A3 for walls and windows. Most home printers handle A4; a copy shop will print A3 cheaply, and the extra size makes a real difference outdoors or in a hall.

Use heavier paper — 160 gsm or more. Standard copier paper curls, shows through, and looks temporary.

Check it in black and white if it’s going to be photocopied, which school and church posters usually are. Print one greyscale copy before you commit to a run.

Put them up two to three weeks ahead. Earlier and people forget; later and they’ve made other plans. For a December event, late November is about right.

Think about where posters actually get read — school gates, shop windows, libraries, community centres, cafés, church porches. Ask permission, and take them down afterwards.

Laminate or use a plastic wallet for anything going outdoors. British December weather turns an unprotected poster to pulp in a day.

Add a short web address or QR code if you’re selling tickets — it’s the difference between someone meaning to look it up later and doing it while they’re standing there.

Frequently Asked Questions

What should a Christmas event poster include?

The event name, the day and date, the time, the venue, the entry price (or “free entry”), and a contact or web address. Everything else is decoration, and it should never crowd out those five.

How do I make a Christmas poster in Word?

Start from a template above, or set the page to portrait, insert a decorative border or background image with wrapping set to Behind Text, and use text boxes for the headline and details so you can size and position them freely. Keep to two fonts.

What size should a Christmas poster be?

A4 for noticeboards and indoor display, A3 for halls, windows, and anywhere people view it from a distance. Print on 160 gsm or heavier paper so it doesn’t curl.

When should I put up posters for a Christmas event?

Two to three weeks before. Earlier and people forget; later and December diaries are already full. For a mid-December event, put them up in the last week of November.

What colours work for Christmas posters?

Red and green is the standard, but navy and gold, forest green and cream, or white and silver all read as festive and stand out more on a crowded noticeboard. Whatever you pick, keep the contrast strong enough to read from a distance.

What can I write on a Christmas wish poster?

Keep it short — one line if possible. “Merry Christmas and a Happy New Year,” “Peace, love and joy,” “Merry Christmas from the [name] family,” or “Season’s greetings” for mixed gatherings. A short message can be set large, and scale is where a poster’s impact comes from.
