A timetable is the weekly grid that tells you what happens when — subjects against periods for a student, classes against rooms for a teacher, or study blocks against evenings for anyone revising. The free templates below are editable MS Word and Excel files, and beneath them you’ll find the standard grid layout, how color-coding makes a week readable at a glance, and how to build a revision timetable you’ll actually stick to.

The Weekly Grid

Almost every timetable uses the same arrangement, and it’s worth following rather than reinventing:

Days across the top — Monday to Friday, or to Saturday where the school week runs longer.

Periods down the left, each with its start and end time. Times matter more than period numbers: “Period 3” means nothing to a parent, “11:05–11:55” means something to everyone.

Subject, teacher, and room in each cell — the room is the field most often left off and most often needed, particularly in the first weeks of a new year.

Breaks and lunch shaded across the full width, so the day’s shape is visible without reading.

Days across rather than down is the convention because a week then fits comfortably on a landscape page. A timetable that needs two sheets or a magnifying glass isn’t going to be consulted.

Class Timetable Example

Read that grid for a second and you can already see the week’s shape — Maths and English most days, a double-Science Thursday, Friday afternoon in History. That legibility comes almost entirely from the colors, which is why the next section is the most useful advice on this page.

Color-Code by Subject

Give every subject its own light background color and keep it consistent across the whole timetable. It takes five minutes and it changes how the sheet works.

Color lets you see patterns instead of reading cells: which days are heaviest, where two demanding subjects sit back to back, whether a subject clusters at the end of the week. Students spot their own week at a glance instead of tracing a column with a finger, and parents can tell which day needs the PE kit without decoding a grid.

Three practical rules. Keep the colors pale — dark fills make the text hard to read and swallow printer ink. Use the same color for the same subject everywhere, including on any revision timetable you make later. And make sure it still works in black and white, since many school printers are monochrome: pale tints reproduce as distinguishable greys, saturated ones turn into an unreadable block.

Three Kinds of Timetable

Class timetable — one student’s or one form group’s week. Subject, teacher, room per period. This is the version pinned to a bedroom wall and folded into a school bag.

Teacher’s timetable — the same grid from the other side: which class, which room, and which periods are free. Teachers usually want their free periods and duties marked as clearly as their lessons, since those are the slots they plan marking and meetings into.

Study or revision timetable — not a school document at all, but the same grid applied to evenings, weekends, and holidays. See below; it’s the one most people get wrong.

Alongside the timetable, a daily planner handles homework and tasks, and teachers planning the lessons themselves will want lesson plan templates.

Study and Revision Timetables

Revision timetables fail for a predictable reason: they’re built on the first Sunday of the holidays by someone feeling guilty, they allocate twelve-hour days, and they’re abandoned by Wednesday. A schedule you keep is worth more than a schedule that looks impressive.

What works:

Be honest about the hours. Three or four focused hours a day is a real achievement. Plan for that and exceed it on good days, rather than planning ten and failing daily.

Work in blocks with real breaks — something like forty to fifty minutes of work and a ten-minute break, with a longer break every couple of blocks. Breaks that involve standing up and leaving the room beat breaks spent on a phone at the desk.

Put the hardest subject where you’re freshest, which for most people is the morning. The subject you’re avoiding is the one that needs your best hours, not your leftovers.

Rotate subjects. Two or three per day beats one all day — switching topics helps retention and makes the day feel shorter.

Schedule the breaks and days off, in the grid, in ink. A timetable with no rest built in is one you’ll break, and breaking it once makes abandoning it easier.

Leave slack. Keep a few blank blocks each week for catching up on what overran, rather than planning every hour and falling behind by Tuesday.

Use the same subject colors as your class timetable. It makes the two sheets read as one system.

Write it in pencil, or keep it in Excel where it’s easy to change. The first version of any revision timetable is a guess; the second, written after a week of finding out how long things actually take, is the useful one.

Building a Timetable in Word

Set the page to landscape — Layout ? Orientation ? Landscape. A week doesn’t fit portrait.

Insert a table with one more column than you have days (the extra is for times) and one row per period plus a header.

Merge cells for doubles and breaks — select the cells, right-click, Merge Cells. Break and lunch rows merged across the full width give the day its shape.

Shade the cells — select a cell, then Table Design ? Shading, and pick a pale tint. Keep a note of which colour belongs to which subject so you can apply it consistently.

Put the time in the first column and the period number beneath it in smaller text.

Use two lines per cell — subject on the first, teacher and room on the second in a smaller size. Shift+Enter gives you a new line within the same cell.

Check it prints on one page before committing — File ? Print and look at the preview. Reduce the font a point or narrow the margins rather than letting it spill onto a second sheet.

Frequently Asked Questions

What is a timetable?

A weekly grid showing what happens when — typically subjects or classes against periods, with days across the top and times down the side. Students use one for their lessons, teachers for their classes and free periods, and anyone revising can apply the same grid to study blocks.

How do I make a timetable in Microsoft Word?

Set the page to landscape, insert a table with a column per day plus one for times, merge cells for breaks and double periods, and shade cells by subject. Keep to two lines per cell — subject on one, teacher and room on the other.

What should a school timetable include?

Period times rather than just period numbers, the subject, the teacher, and the room. Mark registration, break, and lunch across the full width so the shape of the day is visible at a glance.

How do I make a revision timetable?

Block out the hours you’ll realistically work — three or four focused hours a day is a genuine achievement — put your hardest subject when you’re freshest, rotate two or three subjects a day, and schedule breaks and days off in the grid rather than hoping for them.

Should I color-code my timetable?

Yes. A pale background color per subject lets you see the week’s shape instead of reading every cell. Keep the tints light so text stays readable and so the sheet still works when printed in black and white.

Is there a timetable template in Excel?

Yes — one of the files above is a spreadsheet version, which is easier to recolor and rearrange when the timetable changes mid-term. It’s also the better option for a revision timetable, since you’ll be revising it as you go.
