An inventory list records what you hold, how much of it, where it is, and what it’s worth. A shop uses one to know when to reorder; an office uses one for supplies; a household uses one so that an insurance claim after a fire or burglary isn’t reconstructed from memory. The free templates below cover all three in MS Word and Excel, and beneath them you’ll find the field that turns a stock list into a useful one, plus the formulas that make a spreadsheet version flag low stock by itself.

What Goes on an Inventory List

Item code or SKU — your own reference. Essential once you have more than a few dozen lines, because descriptions get typed inconsistently and codes don’t.

Description — specific enough to distinguish similar items. “Blue pens” isn’t enough if you stock three kinds.

Category — so the list can be grouped and subtotalled.

Location — shelf, room, bin, or store. The field most often skipped, and the reason stock counts take twice as long as they should.

Quantity on hand, and the unit it’s counted in (each, box, litre).

Reorder level and reorder quantity — see below.

Unit cost and total value — quantity times unit cost, per line, with a total at the foot.

Supplier, and their lead time in days.

Last counted — the date this line was physically verified, not the date the spreadsheet was edited.

The Reorder Level

This is the field that separates a list recording what you have from one telling you what to do.

The reorder level is the quantity at which you place a new order. Set it from two things: how long the supplier takes to deliver, and how fast you use the item. If you sell four a week and the supplier takes two weeks, you need eight in stock before you order — plus a little buffer for a late delivery or a busy fortnight, so ten or twelve.

Written down, that figure does the thinking for you. Nobody has to judge whether stock is “getting low”; the list says so. And where the spreadsheet flags it automatically — see the formulas section — the judgement disappears entirely, which is what you want on a Friday afternoon.

Two related habits. Review reorder levels when something changes — a new supplier with a longer lead time, a product that starts selling faster. And record the reorder quantity alongside it, so whoever places the order doesn’t have to work out how many to buy.

The status column is the whole point. Nobody reading this list has to judge whether the napkins are running low — the sheet has already compared 3 against a reorder level of 6 and said so. Two lines flagged, an order to place, and the count date at the top telling you how much to trust the figures.

Home Inventory: The Part People Get Wrong

A home inventory exists for one moment — the insurance claim after a fire, flood, or burglary, when you’re asked to list what you owned and prove it. Reconstructing that from memory under stress is how people end up under-claiming by thousands.

Record, room by room: the item, make and model, serial number, purchase date, purchase price, and where the receipt is. Photograph everything — a slow video walk-through of each room with cupboards and wardrobes open takes fifteen minutes and captures more than an hour of typing. Photograph serial plates on anything electrical, and keep receipts for high-value items together.

Then store it away from the house. This is the part that gets missed, and it defeats the whole exercise when it does: an inventory in the drawer of the house that burned down is gone with everything else. Keep it in cloud storage, in an email to yourself, or on a copy with a relative. A printed list in a fireproof box is better than nothing, but off-site is better still.

Update it once a year and after any significant purchase, and check what your policy actually requires — some insurers ask for valuations or separate cover above a value threshold for jewellery, art, and equipment.

Making the Spreadsheet Do the Work

Three formulas turn a static list into one that flags its own problems. With quantity in column D, reorder level in E, and unit cost in F:

=D2*F2 ? line value (quantity × unit cost)
=SUM(G2:G200) ? total stock value
=IF(D2<=E2,”REORDER”,”OK”) ? status flag

Fill those down the columns once and the sheet maintains itself: change a quantity and the value, the total, and the status all update.

Add conditional formatting to make the flags visible — select the status column, then Conditional Formatting ? Highlight Cells Rules ? Text that Contains ? “REORDER”, and pick a red fill. Anything needing an order then colours itself, so nobody has to read the column.

For a quick order list, apply a filter to the header row and filter the status column to REORDER only. That gives you exactly what to buy, in one click, without touching the rest of the sheet.

Counting Stock

Count what matters, more often. A full stocktake of everything is a big job done rarely; cycle counting — checking a portion of the list each week so everything is covered over a quarter — catches errors while they’re still small. Count high-value and fast-moving items most often.

Print the list to count from, and write the counted figure beside the expected one rather than overwriting it. The difference between the two is the information; if you type over the expected number, you’ve destroyed it.

Count when nothing is moving — before opening, after closing, or with deliveries and dispatches paused. Counting mid-day guarantees discrepancies you can’t explain.

Two people for high-value stock, or at minimum a different person counting from the one who manages it.

Investigate differences rather than adjusting them. A recurring shortfall on one line is telling you something — breakage, theft, an unrecorded sale, or a unit-of-measure mix-up. Quietly correcting the number each month buries the signal.

Date the count and record who did it. An undated inventory is a guess.

Frequently Asked Questions

What is an inventory list?

A record of the items you hold, with quantities, locations, and usually values. Businesses use one to manage stock and know when to reorder; households use one to document possessions for insurance.

What should an inventory list include?

Item code, description, category, location, quantity on hand, reorder level, unit cost, total value, supplier, and the date the line was last physically counted.

What is a reorder level?

The quantity at which you place a new order, calculated from your supplier’s lead time and how fast you use the item — plus a buffer. If you use four a week and delivery takes two weeks, the reorder level is around ten.

How do I create an inventory list in Excel?

Set up columns for code, description, location, quantity, reorder level, and unit cost. Add a value column as quantity times cost, a total with SUM, and a status column using IF to compare quantity against the reorder level. Conditional formatting then highlights anything needing an order.

How do I make a home inventory for insurance?

Go room by room recording item, make and model, serial number, purchase date and price, and where the receipt is. Photograph or video everything, including serial plates. Then store the list away from the house — in cloud storage or with a relative — because an inventory kept in the property it describes is lost with it.

How often should stock be counted?

Cycle counting — a portion of the list each week, covering everything over a quarter — works better than an annual full count for most small businesses, because errors surface while they’re still traceable. Count high-value and fast-moving lines most frequently.

What’s the difference between an inventory list and a stock list?

They’re used interchangeably in most contexts. Where a distinction is drawn, “stock” usually refers specifically to goods held for sale, while “inventory” can also cover equipment, supplies, and assets not intended for resale.
