A remittance advice is a note sent by a customer to a supplier confirming that a payment has been made and, crucially, which invoices it covers. It isn’t a demand for payment and it isn’t a receipt — it’s the message that lets the supplier match the money in their bank account to the right invoices. The free templates below are editable MS Word files, and beneath them you’ll find a filled-in example, the fields to include, and why suppliers care about this document more than customers usually realize.

Which Way Does It Travel?

Three documents surround a single payment, and they don’t all go the same direction. That’s what makes them confusing:

Invoice — supplier ? customer. “Here’s what you owe.”

Remittance advice — customer ? supplier. “I’ve paid you, and this is what it covers.”

Receipt — supplier ? customer. “Your payment arrived.”

So the remittance advice is the only one of the three that you send when you’re the one paying. It’s a courtesy — rarely mandatory — but it’s the kind of courtesy that keeps supplier relationships smooth, because of the problem it prevents.

The Problem It Solves

Put yourself on the supplier’s side. A payment of 12,847.50 lands in the bank account with the reference “PAYMT 4471.” The customer has six outstanding invoices, none of which matches that figure, and two of them had credit notes issued against them last month.

Nobody can allocate that payment with confidence. In accounts receivable this is called unapplied cash, and it causes a chain of small problems: the right invoices stay open on the ledger, the customer’s statement looks wrong, automated reminders go out for invoices that have actually been paid, and someone ends up sending an awkward email asking a customer what their own payment was for.

A remittance advice removes all of it in one line each. It takes two minutes to produce and saves an hour somewhere else — which is why finance teams at larger organizations often insist on receiving one before they’ll investigate a payment query.

What Goes on a Remittance Advice

Your details — company name, address, and a contact for payment queries.

Supplier’s name and their account reference with you, if they use one.

Date the advice is issued and the payment date.

Payment method and reference — bank transfer with the reference that will appear on their statement, or the cheque number. This is the field that ties the advice to the money.

A line per invoice — invoice number, invoice date, gross amount, any credit note or deduction applied, and the amount paid against it.

Any credit notes used, shown explicitly with their own reference. Deductions applied silently are the single most common cause of a supplier querying a payment.

Total remitted — which must equal the amount that actually leaves your account.

Notes, where a line needs explaining — a short payment, a disputed item, a part payment with the balance to follow.

Note what isn’t on it: no terms and conditions, no signature requirement, no logo obligations. A remittance advice is a plain informational note, and simpler is better.

That’s the whole value of the document in one table. The supplier can see immediately that the 12,847.50 in their account closes four invoices, that the short payment on INV-2026-0198 is a credit note rather than a dispute, and exactly which credit note it was — so nobody has to send an email to find out.

Remittance Slips Attached to Invoices

There’s a second form of this document that runs the other way. Suppliers sometimes print a tear-off remittance slip at the foot of their invoices — pre-filled with the invoice number, the amount due, and the customer’s account reference — for the customer to detach and return with a cheque or post back after paying.

It’s a sensible thing for a supplier to include, because it means the advice comes back in exactly the format their accounts team wants, with the reference already correct. If you’re issuing invoices, adding a slip to the bottom of the page costs nothing and measurably reduces the number of payments you can’t allocate. If you’re receiving invoices with one attached, returning it is the easiest possible way to send a remittance advice.

Practical Notes

Send it the same day you pay, not after. An advice that arrives a week later has already failed to prevent the confusion it exists to prevent.

Email is fine — most remittance advices now travel as a PDF attachment or in the body of an email. Send it to the supplier’s accounts address rather than your usual contact, who may not handle payments.

Make the bank reference match. The reference on your advice must be the reference that appears on the supplier’s bank statement, or they still can’t tie the two together.

Always explain deductions. Short payments with no explanation get treated as disputes and trigger chasing calls.

Keep a copy with your payment records. When a supplier queries an old payment, your own advice is the fastest way to answer.

If you run a payment run, produce one advice per supplier rather than one for the whole batch.

Frequently Asked Questions

What is a remittance advice?

A note sent by a customer to a supplier confirming that a payment has been made and listing which invoices it covers. It lets the supplier match the money received to the correct invoices on their ledger.

What is the difference between a remittance advice and a receipt?

They travel in opposite directions. The customer sends a remittance advice to say “I’ve paid you, here’s what it covers.” The supplier sends a receipt to confirm the payment arrived. One announces the payment, the other acknowledges it.

Is a remittance advice a legal requirement?

Generally no — it’s a courtesy rather than an obligation. But many larger organizations require one before they’ll investigate a payment query, and some suppliers make it a condition of their payment terms, so check your supplier’s requirements.

How do I write a remittance advice?

List your company details, the supplier’s name, the payment date, method, and bank reference, then a line per invoice showing the invoice number, gross amount, any deduction applied, and the amount paid — ending with the total remitted. The sample above shows the full layout.

What does “remittance advice but no payment” mean?

It’s the situation where a supplier receives the advice but the funds don’t appear. Usually it’s timing — transfers can take one to three working days, and advices are often sent the moment payment is authorized rather than when it clears. If several days pass, check that the payment was actually released and that the bank details used were correct; occasionally it means a payment was prepared and never approved.

Should I send a remittance advice for every payment?

For business-to-business payments, yes — especially where one payment covers several invoices or includes deductions. For a single invoice paid in full with the invoice number as the bank reference, the reference alone often does the job.

Can a remittance advice be sent by email?

Yes, and most now are. Attach it as a PDF or paste the table into the email body, and send it to the supplier’s accounts or remittance address rather than to your day-to-day contact.
