An invitation has one job: get the right people to the right place at the right time, with everything they need to know and nothing they don’t. The free templates below are editable MS Word designs you can fill in and print at home, and beneath them you’ll find wording for formal and informal events, how far ahead to send, and the part everyone finds hardest — actually getting replies.

What Every Invitation Needs

Whatever the occasion, these eight things:

Who is hosting. For a family event this may be the parents, the couple, or the whole family — and guests notice who is named.

What the event is, said plainly. “Birthday party,” “wedding reception,” “housewarming.” Never leave guests to work it out from the design.

Who it’s for, where that differs from the host — the birthday person, the graduate, the couple.

Day and date. Both. People diarise by “Saturday” and confirm by the number, and including the day catches the error where the date falls on a different weekday than you thought.

Start time, and a finish time for anything other than a wedding or a dinner. Guests plan around an end time, and it also signals whether a meal is involved.

Venue name and full address, plus parking or transport notes if it isn’t obvious.

RSVP — by when, to whom, and how. See below.

Anything they need to know in advance — dress code, whether children are welcome, gifts, dietary requirements, or “just bring yourself.”

If the invitation runs out of space, cut the decorative wording rather than any of the eight. An elegant card that doesn’t say the postcode creates more work than a plain one that does.

Formal and Informal Wording

The difference is grammatical person. Formal invitations are written in the third person — the hosts refer to themselves by name, and guests are addressed as “your company” rather than “you.” Informal invitations speak directly to the reader.

INFORMAL

Come and help us celebrate

Food, drinks and dancing.
No presents please — just bring yourself.

Let Amara know by 20 June
07700 000321

Two conventions worth knowing on the formal side. “Request the pleasure of your company” is used for a secular ceremony or a reception; “request the honour of your presence” traditionally signals a religious service. And formal invitations spell out dates and times in words rather than using numerals — “Saturday the eleventh of July at two o’clock” rather than “Sat 11 July, 2pm.”

The informal version does the same work in a third of the words. Neither is better; they’re matched to different events, and the commonest mistake is using formal phrasing for a casual party, which reads as stiff rather than elegant.

Getting RSVPs

The genuine difficulty of hosting anything. Four things make a measurable difference:

1. Set the reply date before you need the numbers. Work backwards from your caterer’s deadline, your venue’s final headcount, or the day you place the cake order, then add a week for chasing. An RSVP date the day before you need the figure gives you no room at all.

2. Say what you want back. “RSVP” alone is interpreted two ways — some people reply only if they’re coming, others reply either way. Be explicit: “Please let us know either way by 20 June” or “Regrets only — no need to reply if you’re coming.” Regrets-only is quicker for a large casual event; reply-either-way is essential whenever you’re paying per head.

3. Give one route, or two at most. A phone number and nothing else works better than a phone number, an email address, a form and a card to post. Choose whichever you’ll actually check, and put a name beside it.

4. Expect to chase. Roughly a third of guests won’t reply without a nudge, and it isn’t rudeness — the invitation arrived at a busy moment and got put down. Plan a single round of follow-up messages a few days after the deadline, and treat it as part of the process rather than an imposition.

For events where you’re selling tickets rather than inviting guests, our event ticket templates handle numbering and admissions, and party flyers suit open events where anyone can come.

Two adjustments worth making. Send earlier in December — diaries fill by mid-November, and an invitation arriving on the first of the month is already competing with three other things. And send earlier than you think for anything involving childcare, since parents need to arrange it before they can commit.

Plus-Ones and Children

Two awkward questions, both solved on the invitation rather than by phone afterwards.

Name who is invited. “Sarah and Michael” invites two people. “Sarah and guest” invites a plus-one explicitly. “The Brennan family” includes the children. Addressing the envelope and the invitation to the specific people you mean is the clearest signal there is, and it prevents the conversation where someone arrives with an extra guest you’re not catering for.

Say it plainly if children aren’t included. “We hope you’ll understand that this is an adults-only evening” on the invitation is far kinder than leaving parents to guess. Give as much notice as you can, since childcare on a Saturday night needs arranging.

If numbers are tight, a line such as “we’re limited to 60 guests, so we’re unable to extend invitations beyond those named” is direct without being cold — and most people appreciate knowing where they stand.

Printing and Sending

A6 (105 × 148 mm) or 5 × 7 inches are the standard invitation sizes, and both fit readily available envelopes. Check you can buy the envelope before you commit to the size.

Print on card, 250 gsm or heavier. A flimsy invitation sets an expectation about the event.

Two to an A4 sheet for A6, trimmed with a guillotine rather than scissors.

Print one and check it before the full run — colours shift between screen and paper, and a name misspelled across forty cards is an expensive afternoon.

Check every name against your list, twice. Spelling a guest’s name wrong on an invitation is the detail they’ll mention.

Digital works, and costs nothing. Export the same design as a PDF or an image and send by message or email. Most people now do both — printed for older relatives, digital for everyone else.

Weigh one envelope before buying stamps if you’re posting a large batch; square and card-heavy invitations often cost more than a standard letter.

Keep a list of who was invited, who replied, and who you chased. It becomes your seating plan, your catering number, and your thank-you list afterwards.

For short notes after the event, our postcard templates and thank-you cards cover that side.

Frequently Asked Questions

What should an invitation include?

Who’s hosting, what the event is, who it’s for, the day and date, the start time, the venue with a full address, RSVP details with a deadline, and anything guests need to know in advance such as dress code or whether children are welcome.

How far in advance should invitations be sent?

Two to three weeks for a casual party, four to six for a milestone celebration, six to eight for a wedding, and three months or more if guests need to travel or the date falls in a holiday period. Send earlier in December, when diaries fill early.

What is the difference between formal and informal invitation wording?

Formal invitations are written in the third person — “Mr and Mrs Okafor request the pleasure of your company” — with dates and times spelled out in words. Informal invitations address the guest directly and use numerals. Using formal wording for a casual party reads as stiff rather than elegant.

What does “request the honour of your presence” mean?

It traditionally signals a religious ceremony, while “request the pleasure of your company” is used for secular ceremonies and receptions. Many couples now use either, but the distinction is still recognised.

How do I get people to RSVP?

Set the deadline a week before you actually need numbers, say explicitly whether you want a reply either way or regrets only, give one contact method with a name beside it, and plan a single round of chasing — about a third of guests won’t reply without a nudge.

How do I say no children on an invitation?

Directly and early: “we hope you’ll understand that this is an adults-only evening.” Naming exactly who is invited on the envelope and the card reinforces it, and giving plenty of notice lets parents arrange childcare.

How do I avoid unexpected plus-ones?

Name the people you’re inviting. “Sarah and Michael” invites two; “Sarah and guest” invites a plus-one deliberately; “The Brennan family” includes children. Ambiguity on the card is what produces the awkward conversation later.

What size should a printed invitation be?
