An annual report is the document an organization publishes once a year to tell members, donors, funders, and stakeholders what it did, what it achieved, and what it spent. For a charity or community organization it’s the single most important piece of communication of the year — the thing a funder reads before renewing, and a supporter reads before giving again. The free templates below are editable MS Word files, and beneath them you’ll find the structure that works, how to present the financial summary, and the difference between a report people read and one they file.

Who These Templates Are For

Worth being clear at the outset. A listed company’s annual report is a regulated filing — audited financial statements, directors’ report, prescribed disclosures, and in many countries a specific format set by law. Nobody assembles one from a Word template, and if that’s what you need, your auditor and company registry set the requirements.

These templates are for everyone else: charities and nonprofits, clubs and associations, schools and PTAs, community groups, churches, and small businesses producing a report for their members, donors, and supporters. That report is a communications document with a financial section, and a good template genuinely helps.

What Goes in an Annual Report

Cover — organization name, the year covered, and one image. Say which year prominently; reports get read long after publication.

Letter from the chair or director — one page, written in a human voice. This is where you say what kind of year it was, including the hard parts. Reports that acknowledge a difficult year read as more credible than reports that don’t.

Mission — two or three lines on what the organization exists to do, for readers who don’t already know.

Year in review — the headline numbers on one page: people helped, members, events, funds raised, volunteers, hours given.

Programs and impact — what each area of work did and what changed as a result. See the next section.

Stories — one or two individual accounts, with permission and with names changed where appropriate.

Financial summary — income by source, expenditure by category, and the year-end position.

Thank you — funders, major donors, corporate partners, and volunteers. People check whether they’re listed.

Board and staff — who governs and who runs it.

Looking ahead — what’s planned, and what you need to do it.

How to help and contact details — the practical close.

Outcomes, Not Outputs

The difference between a weak annual report and a strong one usually comes down to this distinction.

An output is what you did: “we ran 42 workshops,” “we distributed 1,800 meals,” “we answered 3,400 calls.” It’s a measure of activity, and it tells a reader you were busy.

An outcome is what changed: “312 people completed the program, and 78% were in work within six months,” “average waiting time fell from nine weeks to three,” “of the 140 families supported, 96 remained housed a year later.” It tells a reader you were effective.

Funders renew for outcomes. Donors give again for outcomes. And the organizations that struggle to report outcomes are usually the ones that didn’t decide at the start of the year what they’d measure — which makes writing the annual report the moment you discover it. If that’s this year’s situation, note it honestly and set up the measures for next year; that’s a better report than inventing numbers.

Use both. Outputs give scale, outcomes give meaning, and a report with only one of the two is half a report.

The Financial Summary

This is what makes the document an annual report rather than a brochure. It doesn’t need to be a full set of accounts — it needs to answer three questions plainly: where did the money come from, where did it go, and what’s left.

319,300

Surplus for the year: 22,000 | Reserves at year end: 96,400 (3.6 months of operating costs)
Full audited accounts are available on request and filed with the regulator.

Three features make this work. Percentages alongside the figures, because readers compare proportions rather than totals. The programs-to-administration split, which funders look for and which you should present yourself rather than leaving them to calculate. And reserves expressed in months of operating costs — a number that means something to a reader, where “96,400” alone doesn’t.

Telling One Story Properly

Every experienced fundraiser will tell you the same thing: the page readers remember is the one about a person. Numbers establish scale; a story establishes why the numbers matter.

A usable story is short — three or four paragraphs — and follows a simple shape: where someone was, what your organization did, where they are now. Use their own words if you can get them, and a photograph if they consent to one. Keep it specific; a story that could be about anyone reads as though it’s about nobody.

Three things to get right. Get explicit permission, in writing, and be clear where the report will be published. Change names and identifying details where the subject is vulnerable, and say that you’ve done so. And don’t write the person as helpless — the version where someone made a difficult decision and your organization helped them carry it out is both more accurate and more persuasive than the version where they were rescued.

Practical Notes

Publish within a few months of your year end. A report arriving ten months late reports on a year nobody remembers.

Keep the format consistent year to year. Readers comparing this year with last shouldn’t have to hunt for the same figures, and funders frequently do exactly that.

Get the numbers from your treasurer or accountant, and make sure the summary reconciles to the accounts you file. A discrepancy between your published report and your filed accounts is a problem that’s hard to explain afterwards.

Write captions for every photograph. Captions are read more often than body text, so use them to carry information rather than to label the obvious.

Produce a PDF as well as print. Most of your readers will see it on a phone, so check it’s legible at that size before committing to a print run.

Check any regulatory requirements. Registered charities in many jurisdictions must file an annual report and accounts in a prescribed form with a regulator — that filing is separate from the report you publish to supporters, and the deadlines matter.

Frequently Asked Questions

What is an annual report?

A yearly publication summarizing what an organization did, achieved, and spent over the preceding twelve months. Nonprofits and clubs use it to inform members, donors, and funders; companies produce a regulated version for shareholders.

What should a nonprofit annual report include?

A letter from the chair or director, the mission, headline figures for the year, program results stated as outcomes, one or two stories, a financial summary showing income and expenditure, acknowledgment of supporters, board and staff, and plans for the coming year.

How long should an annual report be?

Eight to sixteen pages suits most small and mid-sized organizations, and a single-page summary works well for handing out. Length matters far less than whether the financial summary and the outcomes are clear.

What is the difference between an annual report and financial statements?

Financial statements are the formal accounts — income and expenditure, balance sheet, notes — often audited and filed with a regulator. The annual report is the wider narrative document that usually includes a summarized version of them alongside the story of the year.

Is an annual report legally required?

For companies and registered charities in most jurisdictions, yes — some form of annual report and accounts must be filed, in a prescribed format and by a deadline. The published report you send to supporters is usually separate from that statutory filing. Check what your regulator requires.

What is the difference between outputs and outcomes?

Outputs measure activity — workshops run, meals served, calls answered. Outcomes measure change — people who found work, waiting times reduced, families still housed a year later. Report both; funders renew on outcomes.

When should an annual report be published?

Within a few months of the financial year end, once the accounts are finalized. Later than that and the content has aged past the point where readers connect it to anything current.
