What a Sales Receipt Must Include

Sales Receipt vs. Invoice vs. Bill of Sale

• An invoice requests payment. It’s issued after delivery but before the money arrives, and it creates a receivable in the seller’s books.
• A sales receipt confirms payment. It’s issued at the point of sale, once the money has changed hands, and it’s the buyer’s proof of purchase.
• A bill of sale transfers ownership of a specific item. It goes further than a receipt: it identifies the item precisely, names both parties, and is often required to register the change of ownership — most commonly for vehicles.

Selling a Car or Other Vehicle Privately

If you’re selling a vehicle, a plain sales receipt usually isn’t the right document. Registration authorities and insurers typically want a bill of sale containing the vehicle identification number (VIN), make, model and year, the odometer reading on the day of sale, the sale price and date, both parties’ names, addresses and signatures, and — where you’re selling with no warranty — explicit “sold as is” wording. Some jurisdictions require a specific form or notarization, and many require the seller to notify the licensing authority separately so liability transfers cleanly.

For a higher-value sale, or one where payment is staged or conditional, the transaction is better handled with a vehicle purchase agreement setting out the terms, with a bill of sale signed at handover. Check what your local licensing authority requires before you agree the sale, not after.

Keeping Receipts

Number receipts sequentially with no gaps, and keep a copy of every one you issue — a duplicate book, or a second printed copy filed by month. If a receipt is spoiled, mark it cancelled and keep it rather than discarding it, and never alter one after it’s been given to a customer; issue a corrected receipt with a new number instead. Retain your copies for as long as your tax authority can query the period — the exact retention rule varies, so check the requirement where you operate.
