What a Payslip Contains

Every payslip has three parts: a header identifying who and when, an earnings side, and a deductions side. What’s left is net pay.

Header — company name and address; employee name, employee ID, designation, and department; the pay period (“September 2026”) and payment date; days worked and any loss-of-pay days; and payroll identifiers such as bank account, provident fund, or UAN number.

Earnings — basic salary, house rent allowance, dearness or transport allowance, medical and special allowances, overtime, incentives, and bonuses. These total to gross salary.

Deductions — provident fund, professional tax, income tax withheld (TDS), state insurance or health contributions, loan and advance recovery, and deductions for unpaid leave. These total to total deductions.

Net pay — gross minus deductions, shown in figures and in words. Writing the amount in words is standard practice on payslips for the same reason it is on cheques: it can’t be quietly altered.

Basic vs. Gross vs. Net Salary

Three numbers appear on every payslip and get confused constantly:

• Basic salary — the core fixed component, before any allowances. It matters more than its size suggests, because allowances and statutory contributions like provident fund are usually calculated as a percentage of basic.
• Gross salary — basic plus all allowances and additions, before anything is taken out. This is the figure quoted in most offer letters.
• Net salary — gross minus all deductions. This is what reaches the bank account, and it’s the figure employees mean when they say “take-home.”

A payslip that shows only the net figure isn’t doing its job. The point of an itemised slip is that an employee can see how the number was arrived at — which is also what banks and visa offices are looking for when they ask for three months of slips.

Standard Salary Structure

• Dearness, transport, and medical allowances — fixed monthly components, some with tax treatment of their own.
• Special allowance — the balancing figure that brings gross to the agreed total.
• Provident fund — a statutory retirement contribution deducted from the employee and matched by the employer, calculated on basic salary.
• Professional tax and income tax — professional tax applies in some states at fixed slabs; income tax is withheld monthly against the employee’s projected annual liability.

Rates, exemption limits, and thresholds are set by tax and labour authorities and change from year to year — set your template up with the components, and confirm current rates with your accountant or payroll adviser before running payroll.

Is a Payslip Mandatory?

In many countries, yes. The UK gives employees a statutory right to an itemised pay statement; India’s wage legislation and state shops-and-establishments rules impose comparable duties on employers; and similar requirements exist across the EU and much of Asia. Even where the law is silent or the workforce is small, issuing slips is worth doing: employees need them for loans, tenancy, and visa applications, disputes about deductions become one-minute conversations instead of arguments, and your own payroll records stay clean. Check the rule that applies where you operate — and retain copies of every slip issued.
