The hard part of a thank you card isn’t the card — it’s the four sentences inside it. Most people sit with a pen, write “thank you so much for the lovely gift,” and stop. The free templates below are editable MS Word designs in foldable and flat formats, and beneath them you’ll find a structure that makes the writing straightforward, wording for every common situation, and how soon each kind of thank you should be sent.
The Four-Part Note
Almost every good thank you note does the same four things, in the same order. Once you know the shape, the blank card stops being intimidating:
- Thank them for the specific thing. Not “your lovely gift” — name it. “The cast iron casserole dish.” Naming it proves you know who gave what, which is precisely what a generic card fails to do.
- Say what you’ll do with it, or what it meant. “It’s already been used twice — the first thing out of it was a stew that fed six people.” This is the sentence that makes the note feel real rather than dutiful.
- Add a line about them, not the gift. “It was lovely to catch up properly at the party — we’d missed you.” One sentence about the person turns a transaction into a note.
- Close warmly, and look forward. “Hope to see you at Christmas.” A forward-looking close leaves the relationship open rather than closing the account.
Four sentences. It takes two minutes, and it’s the difference between a card someone keeps on the mantelpiece and one that reads as an obligation discharged.
The one rule worth following without exception: mention the specific gift. A note that could have been sent to anybody reveals that it was.
Thank You Card Example
THANK YOU
Dear Aunt Priya,
Thank you so much for the cast iron casserole dish — [1: the specific thing]
it has already been used twice, and the first thing out of it fed six people on a very cold Sunday. I suspect it will outlive me. [2: what you’ll do with it]
It was so good to see you at the party, and to finally hear the full story about the canal boat. [3: a line about them]
Hope to see you again before Christmas. [4: warm, forward-looking close]
With love,
Amara
Read it without the bracketed labels and it’s a perfectly ordinary note — which is the point. The structure isn’t visible in the finished card; it’s a way of getting past the blank page. Note too that it’s four short sentences. Length is not the measure here, and a long note isn’t a warmer one.

What to Write
For a gift
Thank you so much for the [item] — it’s exactly what we needed, and it’s already in use.
We love the [item]. It has gone straight onto the [shelf / wall / kitchen counter] and looks perfect there.
Thank you for the [item]. You clearly remembered me mentioning [thing], which was very kind of you.
Thank you for thinking of us — the [item] was a lovely surprise.
For money — the convention is not to state the amount. Refer to the gift and say what it’s going toward:
Thank you so much for your very generous gift. We’re putting it toward [the honeymoon / a new bookcase / the garden], which we’d never have managed otherwise.
Thank you for your kind and generous gift — it’s going straight into the fund for [thing], and we’ll send a photograph when it arrives.
Thank you for the generous cheque. We’ve decided to spend it on [thing] so that we think of you whenever we use it.
For a wedding gift
Thank you so much for the [item], and for being with us on the day — it wouldn’t have been the same without you.
Thank you for your generous gift and for travelling so far to celebrate with us.
We’re so grateful for the [item]. It’s already in our new kitchen and we use it constantly.
After a job interview — send within 24 hours, by email, and keep it short:
Thank you for taking the time to meet me yesterday. I enjoyed hearing about [specific thing discussed], and it confirmed my interest in the role. Please let me know if there’s anything further you need from me.
Thank you for the conversation this morning — particularly the detail about [project]. I’d be glad to talk further about how I could contribute to it.
For a customer or client
Thank you for your order — we hope you enjoy the [product]. If anything isn’t right, please get in touch and we’ll sort it out.
Thank you for choosing us. We’re a small business and every order genuinely matters.
Thank you for your continued custom this year. It’s been a pleasure working with you.
For hospitality
Thank you for having us — the food was wonderful and we stayed far later than we meant to.
Thank you for a lovely evening. It was exactly what we needed after a long week.
For a teacher
Thank you for everything you’ve done for [child’s name] this year. She has grown in confidence enormously, and a great deal of that is down to you.
Thank you for your patience with [name] — the difference in his reading this year has been remarkable.
Acknowledging sympathy — short is entirely appropriate here:
Thank you for your kind words and for the flowers. Your support has meant a great deal to us.
Thank you for thinking of us at such a difficult time.
We’re grateful for your kindness, and for being there.
For a favour or help
Thank you for [the specific help]. You saved me a great deal of trouble and I’m very grateful.
Thank you for stepping in at short notice — it made all the difference.
When to Send
| Occasion | Send within |
|---|---|
| Job interview | 24 hours — by email |
| Birthday or occasion gift | 2 weeks |
| Hospitality — dinner, a stay | A few days |
| Baby shower or christening gift | 2–4 weeks |
| Wedding gift | 3 months |
| Customer purchase | With the order, or the same week |
| Sympathy acknowledgement | No deadline — when you’re ready |
Two notes on timing. The traditional allowance of a year for wedding thanks is far too generous — three months is the modern expectation, and guests do notice. And if you’re late, send it anyway. A note six months on with a line acknowledging the delay is very much better than deciding it’s too late; nobody has ever been annoyed by a thank you that arrived eventually.
Handwriting and Presentation
- Write the message by hand. This is the one document where a printed message defeats the purpose — the effort is the gesture. Print the card design, then write inside it.
- Don’t worry about your handwriting. Nobody is assessing it. A wobbly handwritten note beats a beautifully typeset one every time.
- Use their name, and sign yours. “Dear Priya” and “With love, Amara” rather than an unaddressed note.
- Handwrite the envelope too, and use a stamp rather than a printed label if you’re sending a few. A typed envelope reads as a circular before it’s opened.
- Keep a list of who gave what as gifts arrive, especially at a wedding or a new baby. Reconstructing it afterwards is the reason most thank yous are late.
- Children can write their own from about five or six — a drawing and a few words is worth far more than an adult’s note signed on their behalf.
- For business cards, still sign by hand. A logo and a printed message with a handwritten signature and the customer’s name is the practical middle ground when you’re sending fifty.
Printing a Foldable Card
Two formats, and the method differs:
Half fold (A5 card from A4). The design goes on one half of a landscape A4 sheet, rotated so it’s upright when folded. The simplest approach is to use Word’s Layout ? Page Setup ? Multiple pages ? Book fold setting with “sheets per booklet” set to 4, which handles the page order for you. Print, fold once, done.
Quarter fold (A6 card from A4). Four panels on one sheet, with the front design in the lower-right quarter rotated 180 degrees so it reads correctly after both folds. This is the one people get wrong — the front and back panels must be upside down relative to the inside panels. Most quarter-fold templates handle it; if you’re building your own, print a test on plain paper and fold it before committing.
Whichever you choose:
- Print at 100%, never “fit to page,” or the fold lines won’t land where the design expects.
- Use 200–250 gsm card — anything lighter won’t stand up on a mantelpiece.
- Score before folding — run an empty ballpoint along a ruler where the fold goes, and the card folds cleanly instead of cracking.
- Check your envelope size first. A5 cards need C5 envelopes, A6 need C6. Buy them before you print the batch.
- Print one and fold it before running off thirty.
Related templates: birthday cards for the occasion itself, postcards for short notes that don’t need an envelope, and invitations for the event the thanks will follow.
Frequently Asked Questions
What should I write in a thank you card?
Four sentences: thank them for the specific gift by name, say what you’ll do with it or what it meant, add a line about them rather than the gift, and close warmly. Naming the specific gift is the part that matters most.
How long should a thank you note be?
Three or four sentences is plenty. Length isn’t the measure of warmth, and a short, specific note reads better than a long, general one.
Do you mention the amount when thanking someone for money?
No. Refer to “your very generous gift” and say what it’s going toward — the honeymoon, a piece of furniture, a fund you’re building. Naming the figure is considered awkward on both sides.
How soon should thank you cards be sent?
Within 24 hours after a job interview, a few days after hospitality, two weeks for a gift, and three months for wedding thanks. If you’re late, send it anyway with a brief acknowledgement of the delay.
Should thank you cards be handwritten?
Yes. This is the one card where a printed message undermines the point, because the effort is the gesture. Print the design, then write the message by hand — your handwriting doesn’t need to be good.
What do you write in a business thank you card?
Thank the customer for the specific order or the client for the specific work, keep it to two or three sentences, and sign it by hand. For a small business, saying so — “every order genuinely matters” — lands better than corporate phrasing.
How do I print a foldable thank you card?
For a half-fold A5 card, use Word’s Book fold setting under Layout ? Page Setup, print at 100% on 200 gsm card or heavier, and score the fold before folding. For quarter-fold, the front panel must be rotated 180 degrees — always test one on plain paper first.
What do you write when thanking someone for sympathy?
Very little is needed. “Thank you for your kind words and for the flowers — your support has meant a great deal to us” is entirely sufficient, and there’s no deadline for sending it.
