A cash receipt — also called a money receipt — is a written acknowledgment that a payment has been received. It’s issued by whoever takes the money to whoever paid it, which makes it the mirror image of an invoice: the invoice asks, the receipt confirms. Landlords, shopkeepers, service providers, employers paying cash wages, and anyone taking a deposit should issue one. What a Cash Receipt Must Include

  • Receipt number — sequential, with no gaps. The numbering is what makes a set of receipts auditable.
  • Date the payment was received.
  • Received from — the payer’s full name (and address, for rent or larger payments).
  • Amount in figures and in words — write “$450.00” and “Four hundred fifty dollars only.” This is the oldest safeguard in bookkeeping: figures can be altered with a pen stroke, words can’t. Ending with “only” closes the line against additions.
  • Payment method — cash, or cheque with its number, bank, and date; bank transfer with the reference. A receipt that just says “paid” leaves you unable to trace it later.
  • What the payment is for — “October rent, Flat 4B,” “advance for catering order,” “invoice INV-2026-0231.” One specific line prevents most disputes.
  • Amount paid and balance remaining — essential for partial payments and installments. Show both, so neither side has to reconstruct the arithmetic later.
  • Received by — the name, title, and signature of the person accepting the money, plus your business name and contact details.

Common Types of Cash Receipt

The same structure covers most situations — only the “being payment for” line really changes:

  • Rent receipt — name the property or unit and the period covered (“September 2026 rent, Flat 4B”). Tenants often need these for deposits, visa applications, and tax purposes, so keep the copies.
  • Cash salary receipt — where wages are paid in cash, the employee signs acknowledging the amount and the period (“salary for August 2026”). Both sides should keep a copy; it’s the only record the payment happened.
  • Cheque receipt — acknowledges a cheque handed over, not cleared funds. Record the cheque number, bank, and cheque date, and consider noting “subject to realization” so the receipt isn’t read as confirming the money has actually landed.
  • Advance or deposit receipt — state the total amount agreed, the advance received, and the balance due, so the arrangement is legible from the receipt alone.
  • Service or job payment receipt — describe the work (“plumbing repair, kitchen — 2 Sept”) rather than just “services,” which helps both parties at tax time.

Keeping Receipts Properly

A few habits make a receipt book worth having. Number receipts sequentially and never skip a number — gaps are the first thing anyone reviewing your records will ask about. Write in duplicate (carbon books, or print two copies): one for the payer, one retained. If you spoil a receipt, mark it “cancelled” and keep it in the book rather than tearing it out. Never alter an issued receipt — if something was wrong, cancel it and write a fresh one with a new number. And file the retained copies by month; the point of a receipt is being able to find it two years later when someone asks.

Cash Receipt vs. Invoice

An invoice is a request for payment, issued before the money arrives; a cash receipt confirms payment after it arrives. Most transactions generate both — the invoice creates the amount owed, the receipt closes it.
