An event plan is the internal document that gets an event delivered — the timeline, the budget, the suppliers, and the minute-by-minute running order for the day. Guests never see it, which is exactly why it has to be right. The free templates below are editable MS Word files, and beneath them you’ll find a countdown timeline, a worked run sheet, and the checklist of things that get forgotten until the morning of the event.

Start With the Purpose and the Number

Two decisions shape everything else, and getting them wrong early is expensive to fix late.

What is the event for? Not “a conference” — what has to be true afterwards for it to have been worth doing. Thirty new leads. A team that knows next year’s strategy. £8,000 raised. A community that turned up and met each other. Write it at the top of the plan, because every later decision — venue, catering, format, budget — should be answerable to it.

How many people? This determines the venue, the catering, the staffing and most of the cost. Be realistic rather than hopeful: plan for the number you’re confident of, with a stated ceiling. An event built for 200 that attracts 80 feels like a failure in a way that an event built for 80 that attracts 80 doesn’t — same attendance, entirely different atmosphere.

Then write both numbers down. The most common cause of an event going over budget is a headcount that crept up without anyone deciding it should.

Plan Backwards From the Date

Working forwards from today produces a plan that runs out of time. Working backwards from the event date shows you immediately whether it’s possible.

When

What has to be done

6–12 months

Purpose and target numbers agreed · budget set · date chosen and checked against other events · venue booked · major suppliers approached · key speakers or performers invited

3–6 months

Catering booked · AV and equipment confirmed · programme drafted · sponsors approached · marketing plan agreed · insurance and licences checked · accessibility requirements considered

2–3 months

Invitations or tickets out · risk assessment completed · running order drafted · signage and print designed · dietary and access requirements collected with RSVPs

1 month

Numbers confirmed to caterer · staffing rota agreed · run sheet written · all suppliers reconfirmed in writing · contingency plan for weather or low turnout

1 week

Final numbers · everything printed · team briefed with the run sheet · contact list circulated · deliveries confirmed for the right day and door

Day before

Set up if the venue allows · AV tested with the actual laptop · signage placed · float counted · everything you’ll need loaded in one place

On the day

Run sheet in hand · someone on the door · someone free to deal with problems · nobody who is running the event also presenting at it

Within 2 weeks

Thank-yous sent · sponsor report issued · invoices settled · feedback gathered · debrief held while everyone still remembers

Two lines in that table are the ones people wish they’d read. Test the AV with the actual laptop that will be used, not a similar one — the adaptor, the resolution and the sound output are where presentations fail. And whoever is running the event shouldn’t also be presenting at it; the moment you’re on stage is the moment the caterer arrives at the wrong door.

The Budget

List every line before you commit to anything, including the ones that don’t feel like costs:

Venue — hire, plus any charges for extra hours, cleaning, security or damage deposit.

Catering — per head, plus staff meals, plus a margin for the guests who didn’t RSVP.

AV and equipment — hire, delivery, collection, and a technician if you need one.

Speakers or entertainment — fee, travel, accommodation.

Print and signage.

Insurance and licences.

Staffing — including overtime for your own people, which is a real cost even when it isn’t invoiced.

Contingency — 10% at minimum. Something always costs more than quoted.

Record both the quoted and the actual figure for each line as you go. It takes no extra effort during the event and makes next year’s budget a matter of arithmetic rather than guesswork.

If you’re seeking financial support, our sponsorship proposal templates cover packages and pricing.

The Run Sheet

The document for the day itself, and a different thing from the plan. It’s the minute-by-minute schedule that lets someone else take over if you’re unreachable — which is its real purpose.

Four things make a run sheet work. Every line has a named person, not a team. Phone numbers are on the sheet, so nobody is searching an inbox at half past four. The dietary requirements are written where the food is served, not filed in a spreadsheet. And the escalation line at the foot means a volunteer who finds a problem knows exactly who to call.

What Events Forget

The list that separates an event that runs smoothly from one that mostly does:

Accessibility. Step-free access, an accessible toilet, seating for people who can’t stand, a hearing loop, large-print materials, and a quieter space. Ask about requirements on the RSVP rather than assuming nobody has any.

Licences. Alcohol, live or recorded music, food sales, raffles, street closures — several of these need permission, and some need weeks of notice.

Insurance. Public liability is required by most venues, and your own may not cover an event off your premises.

A risk assessment. Most venues ask for one, and it’s the document that makes you notice the trailing cable and the fire exit behind the buffet table.

First aid. Who is trained, where the kit is, and where the nearest defibrillator is.

Dietary requirements — collected at RSVP, passed to the caterer in writing, and printed on the run sheet.

Weather. Anything outdoors needs a wet-weather plan decided in advance, with a stated time for making the call.

Power. How many sockets, where they are, and whether you need extension leads taped down.

Parking and transport, and what to tell guests who are arriving by public transport after dark.

Photography consent, particularly where children are present. A sign at the entrance and a note on the invitation covers most situations.

Clearing up. Who, how long it takes, where the rubbish goes, and what time the venue needs the keys back.

Somebody free. One person with no fixed job whose role is to handle whatever happens. Events without one run on whoever is least busy at the moment something goes wrong.

Turn the list into dated tasks with our action plan templates, and keep supplier and team numbers on a contact list that travels with the run sheet.

Virtual and Hybrid Events

Different failure modes, so the plan needs different sections.

Run a full tech rehearsal a few days ahead, with the actual presenters, on the actual platform, sharing the actual slides. Not a quick call — a proper run-through. Most virtual event problems are things a rehearsal would have found.

Give someone the job of watching the chat. A presenter cannot present and monitor questions at once, and unanswered chat is the fastest way to lose a virtual audience.

Have a host separate from the speaker — someone to admit people, manage mutes, introduce, and fill if something breaks.

Shorten everything. Attention online runs out considerably faster than in a room. Sessions of 20–30 minutes with real breaks beat a replicated full-day agenda.

State the timezone on every communication, and give the local time for your main audiences.

Decide about recording in advance — whether you’re recording, telling attendees, where it will be published, and how long it’s kept.

Plan for the platform failing. A backup link, a phone dial-in, and a way to tell people what’s happening if the main platform goes down.

For hybrid, treat the online audience as a real audience — a camera that shows the speaker rather than the back of the room, a microphone that picks up questions from the floor, and someone whose job is the remote attendees. Hybrid events that treat online guests as an afterthought are worse than either format alone.

The Debrief

Half an hour, within two weeks, while people still remember. Four questions: what worked, what didn’t, what surprised us, and what would we do differently?

Record the numbers alongside the opinions — attendance against target, spend against budget, money raised, feedback scores. Then write it down and file it with the plan, because the person organising next year’s event may not be you, and a folder containing last year’s plan, run sheet, supplier contacts and debrief is worth more to them than any template.

And thank people specifically. Volunteers, speakers, the caretaker who unlocked the hall at two o’clock — a named thank-you within a fortnight is what makes the same people say yes next time. If you had sponsors, send them a report with attendance figures and photographs; our sponsorship proposal page covers what that report should contain.

Frequently Asked Questions

What should an event plan include?

The purpose and target attendance, a countdown timeline, a budget with quoted and actual figures, supplier and contact details, a staffing plan, a risk assessment, a run sheet for the day, and a debrief afterwards.

What is a run sheet?

The minute-by-minute schedule for the event day — time, what happens, who is responsible, and any notes. Its purpose is to let someone else take over if you’re unreachable, so every line needs a named person and the relevant phone numbers on the page.

How far in advance should I start planning an event?

Six to twelve months for anything with a venue booking and external speakers, three to six months for a medium-sized event, and at least a month for something small. Work backwards from the date rather than forwards from today.

What do most events forget?

Accessibility, licences, insurance, a risk assessment, first aid cover, a wet weather plan, power and cabling, photography consent, and who clears up. Also one person with no fixed role, free to deal with whatever happens.

How much contingency should an event budget have?

At least 10%. Record quoted and actual costs against each line as you go — it makes the following year’s budget arithmetic rather than guesswork.

How do I plan a virtual event?

Run a full tech rehearsal with the real presenters and platform, give someone the job of monitoring chat, keep a host separate from the speaker, shorten every session, state the timezone, and have a plan for the platform failing.

What is the difference between an event plan and a run sheet?

The plan covers everything from the first decision to the debrief, over months. The run sheet covers a single day, minute by minute, and is the document people hold in their hands while the event is happening.

A sponsorship proposal asks a business to fund your event, team, or programme — and explains what they get for it. The free templates below are editable MS Word files, and beneath them you’ll find how to structure the proposal, a worked example of sponsorship packages and pricing, and the single change that turns a proposal marketing managers ignore into one they answer.

A Sponsorship Proposal Is Not a Donation Request

This is the distinction that decides whether your proposal gets a reply.

A donation is charitable giving. The organization gives money because your cause is worthwhile, the decision is usually made by an owner or a charitable committee, and gratitude is the return.

Sponsorship is a commercial transaction. It comes out of a marketing budget, it’s approved by someone with targets to hit, and the sponsor expects something measurable back — exposure to a defined audience, association with something their customers care about, direct access to potential buyers, or content and data they can use.

Most rejected proposals fail because they’re donation requests carrying a sponsorship title. They open with the organization’s history, explain how important the work is, state how much money is needed, and finish with a thank you. A marketing manager reads that and sees a cost with no return.

The fix is structural rather than cosmetic: lead with what the sponsor gets, not with what you need. Your cause matters, and it belongs in the proposal — but it’s the context, not the pitch.

What You’re Actually Selling

Your audience. That’s what a sponsor is buying access to, and it’s the section most proposals either skip or fill with adjectives.

Replace “a large and enthusiastic crowd” with numbers:

Attendance — last year’s figure, and this year’s projection with the basis for it.

Who they are — age range, where they travel from, families or adults, local residents or visitors. Anything you can support from ticket data, a survey, or registrations.

Reach beyond the day — social followers, email subscribers, newsletter open rate, website visits in the month before the event.

Media — local press, radio coverage, anything from previous years.

Dwell time — how long people are on site. A six-hour festival is worth far more to a sponsor than a two-hour presentation, and most proposals never mention it.

If you don’t have these numbers, get them before writing the proposal — a survey at your last event, or ticket data you already hold. A proposal with real figures, even modest ones, outperforms one with impressive adjectives every time. Two hundred confirmed local families is a proposition; “a great turnout” isn’t.

Sponsorship Packages

Give sponsors a choice of levels with clear prices and clear deliverables. It lets them self-select, it makes the ask concrete, and it avoids the awkward negotiation that follows an open-ended request.

Two things this table does. Every line is specific and checkable — “6 dedicated posts to 12k followers,” not “social media promotion.” And the post-event report appears at every level, which signals you’ll account for the money — the detail that most distinguishes a serious proposal from a hopeful one.

What Goes in the Proposal

One-page summary — what the event is, when, the audience size, and the packages available. Some sponsors will read only this.

About us — short. Two or three paragraphs establishing that you’re credible and have done this before.

The audience — the numbers section above. This is the heart of the document.

Why this fits you — the tailored paragraph explaining why this sponsor’s customers are your audience. Generic proposals fail here.

Packages and pricing — the table.

Previous sponsors and results — who backed you before, and what they got. The strongest section if you have it.

The ask and next steps — which package you’re proposing, the deadline for confirming, and what happens when they say yes.

Contact details — a named person with a direct line.

Approaching Sponsors

Research before you write. Look at what the company already sponsors, who their customers are, and whether they have a stated community or CSR focus. Five minutes of research produces the tailored paragraph that makes the difference.

Tailor every proposal. The same document emailed to forty businesses performs worse than eight properly targeted ones. Sponsors can tell instantly, and a generic proposal signals you haven’t thought about what they’d get.

Start three to six months ahead. Marketing budgets are usually set annually and allocated early. A proposal arriving three weeks before the event is asking for money that has already been spent.

Find the right person. For anything beyond a small local business, that’s marketing, community relations, or a sponsorship manager — not the owner, and not a general enquiries address.

Ask for a conversation, not a cheque. “Could I take fifteen minutes to talk through what we’re planning?” gets more yeses than an attached PDF and a number.

Follow up once, politely, after about ten days. Most proposals aren’t rejected — they’re buried.

Make saying yes easy. Name the package, the amount, the deadline, and the single next step.

In-Kind Sponsorship

Not every sponsor gives cash, and for many small businesses goods or services are easier to approve than a cheque — it comes out of stock rather than budget.

Worth asking for: prizes for a raffle or tombola, food and drink, printing, venue or equipment hire, marquees and staging, professional services (photography, design, legal), transport, or staff time. A local printer producing your programmes free is worth exactly as much as the cash you’d have spent on them.

Value in-kind support at its retail price in your proposal and your accounts, and offer the same recognition you would for the equivalent cash. And mention in-kind options explicitly — plenty of businesses that would decline a cash request will happily supply goods, but only if you ask.

After the Event: The Report That Wins the Renewal

The most neglected step in sponsorship, and the cheapest way to secure next year’s support.

Within two weeks, send every sponsor a short report: attendance achieved against projection, photographs showing their branding in place, social media reach with the actual figures, any press coverage, and a genuine thank you. Two pages is plenty.

It matters because your contact has to justify the spend internally. Handing them the evidence makes their conversation easy — and a sponsor who can demonstrate a return is a sponsor who renews without being persuaded. Most organizations never send one, which is precisely why sending one works.

Frequently Asked Questions

What is a sponsorship proposal?

A document asking a business to fund an event, team, or programme, setting out what the sponsor receives in return — exposure to a defined audience, branding, access, and hospitality — usually across several priced packages.

What is the difference between sponsorship and a donation?

A donation is charitable giving with no expected return. Sponsorship is a commercial arrangement paid from a marketing budget, where the sponsor receives measurable benefits. They’re approved by different people using different criteria, so a proposal written as one rarely succeeds as the other.

How do I write a sponsorship proposal?

Lead with your audience — who they are and how many — then set out priced packages showing exactly what each level receives, add a tailored paragraph on why this sponsor’s customers match your audience, and close with a specific ask and deadline.

What should sponsorship packages include?

Specific, checkable benefits: logo placement with the exact location, a stated number of social posts with your follower count, banner space, stall space with dimensions, stage mentions, tickets, and a post-event report. Avoid vague terms like “promotion” or “brand exposure.”

How much should I charge for sponsorship?

Base it on what the sponsor receives rather than what you need to raise. Consider audience size, dwell time, exclusivity, and what comparable local events charge. Three tiers works well — most sponsors choose the middle one.

How far in advance should I approach sponsors?

Three to six months for most events, and longer for larger companies whose budgets are set annually. Proposals arriving weeks before an event are competing for money that has already been allocated.

What is in-kind sponsorship?

Support given as goods or services rather than cash — prizes, printing, catering, venue hire, equipment, or professional time. It’s often easier for a small business to approve than a cash payment, and it should be valued and acknowledged the same way.

An event ticket does two jobs at once: it tells the holder where to be and when, and it gives whoever is on the door something to check and keep. The free templates below cover concerts, film nights, sports fixtures, seasonal parties and more, all editable in MS Word. Beneath them you’ll find the fields a ticket needs, how to number a print run, and what to do about the fact that anything printed at home can be photocopied.

What Goes on an Event Ticket

Event name — the largest text on the ticket.

Date and day — include the day of the week. People remember “Saturday” more reliably than “the 14th.”

Doors open and start time. This is the field most often missing and most often needed. “7:30pm” tells someone nothing about whether to arrive at seven or half past, and the answer determines whether your event starts on time.

Venue name and address, with a line for parking or transport if it’s not obvious.

Seat, row and section — or “General Admission” in plain letters, so nobody arrives expecting an allocated seat.

Ticket number, sequential.

Price and ticket type — adult, child, concession, VIP. Where different types exist, make them visually distinct as well as labelled; door staff reading fifty tickets a minute go by colour, not text.

The terms that matter at the door — admits one, no refunds or exchanges, age restriction, ID required, latecomers admitted at the interval. Small text, but it settles arguments before they start.

Organizer contact — a phone number or email for queries.

The stub — a tear-off section repeating the event, date and ticket number.

Event Ticket Example

MIDNIGHT REEL

Sat 8 Nov 2026

TICKET No.

0247

Stalls F14
Adult · £12.00

Two details doing real work. The doors and screening times are separate, so nobody arrives forty-five minutes late believing they were on time. And the stub repeats the seat and the number, which means the retained stubs alone are enough to reconcile who came, where they sat, and how much was taken.

Numbering a Print Run

Every ticket needs its own number, on both the body and the stub, and typing them by hand for a run of two hundred isn’t the answer. Word’s mail merge handles it: build a numbered list in Excel, set the merge type to Directory so several tickets print per sheet, insert the number field on both halves, and add a Next Record rule before each subsequent ticket on the page.

The full step-by-step is on our raffle ticket templates page — the technique is identical, and the two mistakes to avoid are the same: choosing “Letters” instead of “Directory” (which prints one ticket per sheet), and forgetting Next Record (which prints the same number on every ticket on the page).

Whatever else you do, keep a record of which numbers went where — sold to whom, issued to which seller, or reserved. That record is what makes the rest of this page possible.

Stopping Photocopies

If you’re selling tickets you’ve printed at home, they can be photocopied — by an enterprising guest, or by someone who bought one and passed it to three friends. For a free school concert nobody cares. For a paid event where you’ve counted on the door takings, it’s worth ten minutes of thought.

Four measures, in ascending order of effort:

Sequential numbers with a sold list. The simplest and most effective thing you can do. If ticket 0247 arrives twice, you know immediately, and you know who bought it.

Print on something awkward to replicate — coloured or textured card, or a stock with a subtle pattern. A photocopy onto white office paper is then obvious at a glance in dim light.

Add a physical mark after printing — a rubber stamp, an embossed seal, a signature in metallic pen, or a strip of foil tape. Cheap, fast across a few hundred tickets, and it doesn’t survive a scanner.

Check numbers at the door against your list, crossing each off as it arrives. Slower, but it catches everything.

And the honest limit: above a certain value or volume, a proper ticketing platform with unique QR codes is the right tool, and printed tickets aren’t. A home-printed ticket suits a school play, a charity quiz, or a club night — not a thousand-seat event with a significant gate.

On the Door

Tear the stub, don’t just look at the ticket. An unmarked ticket can walk back out and be used again.

Keep the stubs in order as they come in. At the end of the night they’re your attendance count and your reconciliation against cash taken.

Brief whoever is on the door on the ticket types before doors open — what a concession ticket looks like, whether children need one, what to do with a latecomer.

Have a plan for people who forgot their ticket, and decide it in advance rather than at the door. A sold list makes this easy: find the name, note it, let them in.

Count the cash against the stubs, not against your memory of how busy it looked.

Planning the event itself as well as the tickets? Our event planner templates cover the running order, and sponsorship proposals help if you’re looking for someone to underwrite it.

Printing

Use card, not paper — 200 to 250 gsm. Tickets live in pockets and bags for weeks before the event, and paper doesn’t survive it.

Four to six per sheet depending on size. A standard ticket is roughly 2 × 6 inches, which gives four to an A4 or letter page with room to trim.

Score the stub line — run an empty ballpoint along a ruler where the tear goes, and the card separates cleanly. Pre-perforated ticket stock exists if you’re printing in quantity.

Trim with a guillotine, not scissors. Hand-cut tickets look hand-cut.

Print and check one sheet first — tear a stub, put a ticket in your pocket for an hour, and see how it holds up before you commit to the run.

Frequently Asked Questions

What information should be on an event ticket?

Event name, day and date, doors-open and start times, venue and address, seat or general admission, ticket number, price and type, the terms that apply at the door, and a contact for queries. The stub should repeat the event, date, and number.

Why do event tickets have a tear-off stub?

Door staff tear it and keep it, while the guest keeps the main part for re-entry and as a souvenir. The retained stubs give you an attendance count and let you reconcile admissions against cash taken.

How do I number event tickets in Word?

Use mail merge with a numbered list from Excel, set the merge type to Directory, insert the number field on both the ticket and the stub, and add a Next Record rule before each subsequent ticket on the sheet. Our raffle ticket page has the full walkthrough.

How do I stop people copying my tickets?

Number them sequentially and keep a record of who bought which, print on coloured or textured card that photocopies badly, add a stamp or foil mark after printing, and check numbers at the door. For high-value events, use a ticketing platform with unique codes instead.

What size should an event ticket be?

Around 2 × 6 inches is standard, which fits four to a sheet with room to trim. Anything smaller leaves too little space for the seat details and the terms.

What paper should I print tickets on?

Card of 200 gsm or heavier. Tickets are carried around for weeks before an event, and ordinary paper arrives at the door creased and torn.

Should I put a QR code on a printed ticket?

It’s useful if it links to something the holder will want — directions, the programme, or a page with any last-minute changes. As a security measure it only works if you’re scanning and validating codes at the door, which needs a system behind it; printed alone, a QR code can be photocopied along with everything else.

A raffle ticket is two documents on one strip of card: the part the buyer keeps, and the stub with their name and number that goes into the drum. Both halves carry the same number, and that number is the whole mechanism — without it, you can’t match a drawn stub to the person holding the winning ticket. The free templates below are editable MS Word files, and beneath them you’ll find how to number a whole sheet automatically, what has to be printed on a ticket, and the rules worth checking before you sell one.

The Ticket and the Stub

Every raffle ticket has a perforated or scored line dividing it into two parts:

The ticket — kept by the buyer. It shows the number, the prize, the draw date, and how winners will be notified.

The stub — torn off by the seller and dropped in the drum. It shows the same number plus the buyer’s name and phone number.

That matching number is what distinguishes a raffle ticket from an event ticket. An event ticket admits someone; a raffle ticket has to be traceable back to a named person after the fact. If you print tickets without numbers, or with the same number on every ticket, the raffle doesn’t work — and this is the most common mistake people make with home-printed tickets.

What Must Be Printed on a Raffle Ticket

Between practical necessity and the rules that apply in most places, a ticket should carry:

The organization’s or promoter’s name — who is running the raffle.

The ticket number, matching the stub.

The ticket price.

The prize or prizes, described specifically. “Hamper” invites arguments; “food and drink hamper, value £75” doesn’t.

The draw date, time and location.

How winners will be notified — called on the day, phoned afterwards, posted on a page.

A contact — phone number or email for queries.

Any registration or license number, where your jurisdiction requires one.

Age restriction, where it applies.

On the stub half: the number again, plus name and phone number lines, and email if you’ll draw after the event. Leave enough room to write legibly — stubs filled in standing up at a stall with a biro are the ones you can’t read when you’ve drawn the winner.

Raffle Ticket Example

STUB — RETAINED BY SELLER

No. 0147

Name: ______________

Phone: ______________

Email: ______________

RIVERSIDE COMMUNITY TRUST

Grand Summer Raffle · Registered lottery no. 00000

No. 0147

Price: £2 per ticket

1st prize: Weekend break for two, value £350
2nd prize: Food and drink hamper, value £75
3rd prize: £50 garden centre voucher

Draw: Saturday 4 July 2026, 4pm, Mill Lane Community Hall

Winners need not be present — notified by phone within 48 hours and posted at the hall.

Over 16s only · Queries: 01000 000204

Note the number appears twice, large, on both halves — big enough to read across a table when you’re matching a drawn stub to a ticket someone’s produced from their pocket. And note “winners need not be present,” which saves you from a prize going unclaimed because the holder went home at three.

How to Number Tickets Automatically

Nobody should type four hundred numbers by hand. Word’s mail merge will do the whole run, and once set up it takes about five minutes:

Make a numbered list. In Excel, put a heading like
Ticket
in cell A1, then 1, 2, 3 in A2, A3, A4. Select those three, drag the fill handle down to however many tickets you need, and save the file.

Lay out one ticket per sheet section in Word — or better, arrange several tickets on the page using a table, one ticket per cell.

Mailings ? Start Mail Merge ? Directory. Directory is the setting that puts multiple records on one page; “Letters” would give you one ticket per sheet and waste most of the paper.

Mailings ? Select Recipients ? Use an Existing List, and choose your Excel file.

Put the cursor where the number goes and click Insert Merge Field ? Ticket. Do it again for the stub half, so both halves carry the same field.

Copy the whole ticket into the other cells on the page, then add Rules ? Next Record at the start of each subsequent ticket. Without that, every ticket on the sheet prints the same number.

Finish & Merge ? Edit Individual Documents, which generates the full numbered run as a new document you can check before printing.

Two things to verify on the first sheet before committing to the whole print run: that the stub and ticket halves show the same number, and that the numbers advance between tickets rather than repeating. Getting one of those wrong and printing five hundred is a specific and avoidable kind of bad afternoon.

Printing, Cutting and Perforating

Print on cardstock — 160 to 200 gsm. Tickets handled at a stall, folded into pockets and pulled from a drum need to survive it, and thin paper tears at the wrong line.

Fit six to ten tickets per sheet. A standard raffle ticket is roughly 2 × 5 inches, which gives eight to a letter or A4 page with sensible margins.

Score rather than perforate. Home printers can’t perforate, but running an empty ballpoint along a ruler where the fold goes gives a clean tear line. For larger runs, pre-perforated ticket stock is available, or a print shop can perforate for you.

Cut with a guillotine or trimmer, not scissors — hundreds of hand-cut tickets look exactly like hundreds of hand-cut tickets.

Print a test sheet first, tear one, and write on a stub with the pen you’ll actually use at the stall. Glossy card and biro don’t cooperate.

Running the Raffle

Sell in books — tickets in runs of ten or twenty, issued to each seller with the number range recorded against their name. It’s how you reconcile cash to tickets at the end.

Keep a log of ticket numbers — issued, sold, unsold, and cash taken per seller. Without it you can’t tell whether a book came back short.

Check the stub is filled in before it goes in the drum. An unmarked stub is an unclaimable prize.

Draw in public where you can, with someone independent pulling the stubs, and write the winning numbers down as they come out.

Announce the winning numbers publicly as well as contacting winners, and say in advance where they’ll be posted.

Keep the drawn stubs and the log until every prize is claimed and any reporting is done.

Rules and Registration

Raffles are a form of lottery, and lotteries are regulated in most countries — which surprises a lot of people running a first fundraiser.

The details vary considerably, but the common themes are worth knowing. Many jurisdictions require charity and society raffles to be registered or licensed before tickets are sold, sometimes with the local authority and sometimes with a national gambling regulator. There are often rules about who may sell tickets and to whom, including minimum ages. Some places limit prize values or total ticket sales before a heavier license is needed, restrict cash prizes, or prohibit selling tickets to the general public without one. And several require specific information to be printed on the ticket itself, including the promoter’s name and the registration number.

In some US states raffles are restricted to particular categories of organization, and a few prohibit them outright. Online ticket sales usually attract additional rules.

None of that is a reason not to run a raffle — small fundraising raffles are commonplace everywhere. It’s a reason to spend ten minutes checking your own jurisdiction’s requirements before you print, because the requirements often affect what has to appear on the ticket, and reprinting five hundred tickets is worse than reading one web page.

Frequently Asked Questions

How do I number raffle tickets in Word?

Use mail merge with a numbered list from Excel: set the merge type to Directory, insert the number field on both the ticket and the stub, add a Next Record rule before each subsequent ticket on the sheet, then merge to a new document. The step-by-step is above.

Why do raffle tickets have two parts?

One half stays with the buyer and one half goes in the drum, both carrying the same number. The stub records the buyer’s name and phone number so a drawn number can be matched to a person; the ticket is their proof of purchase.

What information should be on a raffle ticket?

The organization’s name, the ticket number, the price, the prizes, the draw date and location, how winners will be notified, a contact, and any license or registration number your jurisdiction requires. The stub needs the same number plus name and contact lines.

What size is a raffle ticket?

Around 2 × 5 inches is standard, which fits eight to a letter or A4 sheet. Anything much smaller leaves too little room to write legibly on the stub.

How do I perforate raffle tickets at home?

You can’t truly perforate without equipment, but scoring works: run an empty ballpoint pen along a ruler on the fold line and the card tears cleanly. For larger runs, use pre-perforated ticket stock or have a print shop perforate the sheets.

What is a 50/50 raffle?

A draw where the prize is half the money taken in ticket sales and the organizer keeps the other half. Because the prize isn’t known until sales close, the ticket needs to explain the split rather than name a prize — and some jurisdictions treat cash-prize raffles differently, so check the rules before running one.

Do I need a license to run a raffle?

Often yes. Raffles are regulated as lotteries in most countries, and charity or society raffles frequently need registration with a local authority or gambling regulator before tickets go on sale. Rules on prize values, who may sell, age limits, and what must be printed on the ticket all vary — check your own jurisdiction before printing.

A purchase agreement is the contract between a buyer and a seller setting out the terms of a sale — what’s being sold, for how much, when ownership transfers, and what has to happen before the deal completes. It’s used where a transaction is large enough or complex enough to need negotiated terms: property, vehicles, business assets, and significant equipment. The free templates below are editable MS Word documents, and beneath them every key clause is explained in plain language, along with how a purchase agreement differs from a purchase order and a bill of sale.

Note: These templates are general formats, not legal advice. Sale contracts are governed by local law, and requirements vary considerably — real estate in particular, where most US states use standard forms with mandatory disclosures and a generic template may not be legally adequate. Use these to understand the structure and prepare a draft, then have the final agreement reviewed by an attorney or, for property, use your state’s approved form.

Purchase Agreement vs. Purchase Order vs. Bill of Sale

Three documents, three different moments in a transaction:

A purchase order is the buyer’s routine order document — issued for everyday goods at known prices, and binding once the seller accepts it. No negotiation, no conditions.

A purchase agreement (also called a sales agreement or, for shares and assets, an SPA or APA) is a negotiated contract for larger transactions. Its distinguishing feature is that completion usually depends on conditions being met first — financing approved, inspection passed, title cleared.

A bill of sale records a transfer that has already happened. It’s evidence of ownership change, typically handed over at completion — the receipt, not the promise.

Many transactions use two of them: a purchase agreement to commit both sides, then a bill of sale at closing to document the actual transfer.

Key Clauses in a Purchase Agreement

1. The parties. Full legal names and addresses of buyer and seller — company names exactly as registered, individuals as they appear on identity documents. An agreement signed by the wrong entity is difficult to enforce against the right one.

2. Description of what’s being sold. Precise enough that there is no argument later: the legal description and parcel number for property, the VIN and registration for a vehicle, serial numbers for equipment, or a schedule of assets for a business sale. “The blue van” is not a description.

3. Purchase price and payment terms. The total price, the deposit or earnest money and when it’s paid, how the balance is paid, and — importantly — what happens to the deposit if the deal falls through, which varies depending on who caused the failure.

4. Conditions precedent (contingencies). The things that must happen before either side is obliged to complete: buyer’s financing approved, satisfactory inspection or survey, clear title, landlord or regulatory consent, third-party approvals. Each condition needs a deadline and a stated consequence if it isn’t met by then. This is where most real-estate and business deals actually live, and vague contingencies are the most common source of disputes.

5. Closing (completion) date and place. When and where the transaction completes, what each side must deliver on the day, and who bears which closing costs.

6. Representations and warranties. Statements each side makes that the other relies on: that the seller owns the item free of liens and encumbrances, that they have authority to sell, that the item is in the stated condition, and — for a business — that the accounts and contracts disclosed are accurate. If a representation later proves false, the remedies clause determines what follows.

7. Transfer of title and risk of loss. When ownership passes, and separately, when the risk of damage or loss passes. These are not always the same moment, and the gap matters: if goods are destroyed between signing and delivery, this clause decides whose problem it is.

8. Delivery or possession. How and when the buyer takes the item — delivery arrangements for goods, possession date and condition for property, handover of keys, records, and access.

9. Default and remedies. What counts as a breach and what the other party can do: retain or refund the deposit, terminate, sue for damages, or compel completion. Silence here means falling back on general law, which may not give either side what they expected.

10. Dispute resolution and governing law. Which law applies, where disputes are heard, and whether mediation or arbitration comes first — particularly important when buyer and seller are in different states or countries.

11. Signatures, plus witnesses or notarization where your jurisdiction requires them. Property transactions frequently do; check before signing rather than after.

Types of Purchase Agreement

Real estate purchase agreement — the sale of land or property. The most heavily regulated type: expect mandatory disclosures, statutory forms, financing and inspection contingencies, title work, and often escrow. Most US states have an approved standard form, and using it (or an attorney) matters more here than anywhere else.

Vehicle purchase agreement — private car, motorcycle, or boat sales. Record the VIN or hull number, odometer reading, and whether the vehicle sells “as is.” A bill of sale usually accompanies it at handover for registration purposes.

Business or asset purchase agreement — buying a business or a defined set of its assets. Adds schedules of assets and liabilities, treatment of employees and contracts, warranties about accounts, and often a non-compete. Related documents: NDAs during due diligence, and partnership or joint venture agreements where ownership is shared afterwards.

Equipment and goods purchase agreement — machinery, plant, or bulk goods. Covers specification, delivery, installation, acceptance testing, and warranty period. For routine repeat buying, a purchase order is usually the right document instead.

Frequently Asked Questions

What is a purchase agreement?

A contract between buyer and seller setting out the terms of a sale — what’s being sold, the price, payment terms, the conditions that must be satisfied first, and when ownership and risk transfer. It’s used where a transaction needs negotiated terms rather than a simple order.

What is the difference between a purchase agreement and a purchase order?

A purchase order is the buyer’s routine order for goods at known prices, binding once the seller accepts. A purchase agreement is a negotiated contract for larger or more complex sales, typically with conditions that must be met before completion.

What is the difference between a purchase agreement and a bill of sale?

The purchase agreement is the promise: it commits both sides and sets the conditions. The bill of sale is the record that the transfer actually happened, usually signed at closing and used as proof of ownership afterwards.

Is a purchase agreement legally binding?

Once signed by both parties, generally yes — subject to any conditions precedent, which suspend the obligation to complete until they’re satisfied or waived. Formalities differ by jurisdiction and by what’s being sold; real estate in particular often requires specific forms, disclosures, witnessing, or notarization.

What happens to the deposit if the sale falls through?

Whatever the agreement says — which is exactly why it should say. Well-drafted agreements distinguish between failure because a condition wasn’t met (deposit usually returned) and failure because a party defaulted (deposit may be forfeited or other remedies apply).

Do I need a lawyer for a purchase agreement?

For routine equipment and goods, a carefully completed template is common practice. For real estate, business sales, and anything with significant value or complex conditions, have an attorney review the final document — and for property, start from your jurisdiction’s standard form rather than a generic template.

A project proposal is a document that pitches a specific project to whoever must approve or fund it — an investor, a government agency, your own management, or a university supervisor. It answers four questions: what you want to do, why it’s needed, how you’ll do it, and what it will cost. The free templates below are editable in MS Word and cover business, workplace, and academic proposals. Below the downloads you’ll find the standard proposal format section by section, plus a one-page sample. If your project seeks event or program sponsors, see our sponsorship proposal templates instead.

Standard Project Proposal Format

Nearly all project proposals — from a two-page internal pitch to a full grant application — follow this sequence. Shorter proposals merge sections; longer ones expand them:

Executive summary — the whole proposal in one paragraph: the problem, your solution, the cost, and the outcome. Write it last, even though it appears first. Busy approvers often read only this.

Problem statement / background — the situation that makes this project necessary, with evidence (numbers, incidents, missed opportunities). The most common mistake: describing your solution here instead of the problem.

Objectives — what the project will achieve, stated measurably. “Improve customer response times” is a wish; “reduce average response time from 48 to 12 hours by Q2” is an objective.

Scope and deliverables — exactly what will be produced, and just as important, what is excluded. An explicit out-of-scope line prevents the disputes that sink projects later.

Approach / methodology — how the work will be done: phases, methods, tools. Enough detail to show you have a plan; not so much that the reader drowns.

Timeline and milestones — start date, key milestones with dates, and completion. A simple table works better than paragraphs here.

Budget — itemized costs grouped into categories (personnel, materials, services), with a total. Round, unexplained lump sums are the fastest way to lose an approver’s trust.

Team and qualifications — who will do the work and why they’re capable: roles, relevant experience, and for funded proposals, brief credentials.

Expected outcomes and evaluation — what success looks like, how it will be measured, and any follow-up reporting the funder or management will receive.

One-Page Project Proposal Sample

For internal pitches and small projects, a one-page version of the same structure is often all you need — and many approvers prefer it. Here’s what a filled-in simple project proposal looks like:

PROJECT PROPOSAL

Customer Support Knowledge Base

Prepared for: Operations Director | Prepared by: A. Khan, Support Team Lead | Date: 27 Aug 2026

Problem: Support agents answer the same 40 questions repeatedly — about 60% of ticket volume — pushing average response time to 48 hours.

Objectives: (1) Publish a searchable knowledge base covering the top 40 issues by 30 Nov. (2) Cut repeat-question tickets by 50% within 90 days of launch. (3) Reduce average response time to under 12 hours.

Deliverables: 40 help articles, a searchable portal page, and a monthly usage report. Out of scope: live chat and video tutorials.

Timeline: Content drafting Sep–Oct ? portal setup 1–15 Nov ? launch 30 Nov ? 90-day review 28 Feb.

Budget: Portal software $1,800/yr; technical writer (contract, 6 wks) $4,200; team review time (internal) — Total: $6,000.

Success measure: Ticket volume and response-time dashboard, reported monthly to Operations.

Approved by: ____________________ Date: ____________

Project Proposals for Students and Final-Year Projects

Academic project proposals — for university assignments, final-year projects, and thesis approval — use the same structure with a few additions: the cover page carries your institution, department, supervisor’s name, and registration details; the background section includes a brief literature review showing what existing work your project builds on; and the outcomes section states the academic deliverables (report, prototype, defense presentation) and their submission dates. Keep objectives just as measurable as in a business proposal — “develop and test a working prototype that achieves X” — since vague objectives are the most common reason supervisors send proposals back for revision. Any of the templates above can be adapted by adding these fields to the cover page and an extra background subsection.

Frequently Asked Questions

What are the main parts of a project proposal?

Executive summary, problem statement, objectives, scope and deliverables, approach, timeline, budget, team, and expected outcomes — in that order. Short internal proposals merge these into a single page; grant and funding proposals expand each into its own section.

How long should a project proposal be?

One to three pages for internal and small-project proposals; five to fifteen or more for funded and grant proposals, where the funder’s guidelines dictate length and required sections. When guidelines exist, follow them exactly — proposals are routinely rejected unread for format violations.

What is the difference between a project proposal and a business plan?

A project proposal pitches one specific project with a defined start, end, and budget, seeking a yes/no decision. A business plan describes an entire ongoing business — market, operations, and multi-year financials. Investors funding a company want a business plan; sponsors or managers approving a single initiative want a proposal.

What is the difference between a solicited and unsolicited proposal?

A solicited proposal responds to a formal request (an RFP or grant call) and must follow the requester’s required structure. An unsolicited proposal is sent on your own initiative — it has to work harder in the problem statement, because the reader hasn’t yet agreed a problem exists.

How do I write a project proposal for university?

Use the standard structure, add your institution and supervisor details to the cover page, include a short literature review in the background, and list academic deliverables with dates. See the student section above for details.
