A petty cash log is the running record of a small cash fund kept on the premises for minor expenses — stamps, taxi fares, milk for the office, an urgent part from the hardware shop. It records every amount that leaves the box, what it was for, who took it, and what’s left. The free templates below are editable MS Word and Excel files, and beneath them you’ll find a filled-in example, the system that makes petty cash controllable, and the handful of rules that stop a cash box quietly emptying.

The Imprest System

Almost every petty cash fund is run on the imprest system, and understanding it explains every column on the log.

You set the fund at a fixed float — say 200. That amount goes into the box and stays as the fund’s official size. As money is spent, receipts and vouchers go back into the box in place of the cash. So at any moment:

Cash in the box + receipts and vouchers in the box = the float

When the cash runs low, you reimburse the fund back to exactly the float — not by a round number, but by whatever amount restores it to 200. The receipts are handed to accounts, coded to their expense categories, and the box starts again with a full float and no receipts in it.

That’s the whole mechanism, and its value is that the fund can be checked at any moment by one subtraction. If the cash and the receipts don’t add up to the float, something is wrong right now — not at month end.

What Goes in a Petty Cash Log

Date of each transaction.

Voucher number — sequential, matching the slip filed in the box.

Description — what was bought, specifically. “Office supplies” tells nobody anything; “printer toner, Ryman, receipt attached” does.

Received by — the name of the person who took the cash, ideally with their initials on the voucher.

Expense category or account code, so the receipts can be coded when the fund is reimbursed.

Amount out for each disbursement.

Amount in for the opening float and each reimbursement.

Running balance — the cash that should be in the box after each line. This is the column that makes the log useful; without it you only know the position at month end.

Custodian and period at the top, plus signature lines for the reconciliation at the foot.

Note the reimbursement line: 160.05, not 150 or 200. The fund is topped back up by exactly the amount spent, which is what returns it to the float and is the whole point of the imprest system. Note too that the person counting and the person verifying are different — that separation is what makes the reconciliation worth signing.

Vouchers and Receipts

The log is the running record; the petty cash voucher is the individual slip behind each line. A voucher records the date, amount, what it was for, the expense category, and — importantly — is signed by whoever took the cash. It goes into the box with the receipt stapled to it, and its number appears in the log.

The rule worth holding to is simple: no receipt, no reimbursement. Where a receipt genuinely can’t be obtained — a parking meter, a bus fare — the custodian completes a voucher noting why, and someone else countersigns it. That keeps the exception visible rather than turning into a habit.

Controls That Keep the Fund Honest

One custodian. A single named person is responsible for the box, holds the only key, and is the only one who disburses from it. Shared responsibility for cash is no responsibility at all.

A locked box, not a drawer. And not the same drawer the key lives in.

Set a per-transaction limit — commonly a modest amount, above which the expense goes through a proper purchase order or a payment request instead. Petty cash exists for small, urgent items, not to bypass procurement.

No IOUs. This is the classic way petty cash funds fail: someone borrows 40 from the box, leaves a note promising to repay on Friday, and the note is still there in March. A petty cash fund is not a staff loan scheme, and a scrap of paper is not a receipt.

Never use it for payroll, wages, or advances on salary.

Surprise counts by someone other than the custodian, at irregular intervals. Announced monthly counts catch far less.

Separate the roles. The person who holds the cash shouldn’t be the only person who checks it — hence the two signature lines on the reconciliation.

Keep the completed logs and vouchers with your other accounting records, for the same retention period.

Reconciling and Replenishing

Reconcile on a set schedule — monthly for most small offices, weekly where the fund turns over quickly — and always before requesting a reimbursement.

The process takes five minutes: count the cash, total the vouchers and receipts, and add the two together. The result should equal the float exactly. If it doesn’t, you have an overage or a shortage, and the right response is to record it on the log and investigate, not to quietly round the balance. Small discrepancies usually turn out to be a missing voucher or an arithmetic slip; recording them is what makes a genuine problem visible when one eventually appears.

Then request reimbursement for the total of the receipts, hand the receipts to accounts for coding, and start the next period with a full float and an empty voucher wallet. Where the fund keeps running out before the period ends, the float is too small — increase it deliberately rather than topping it up ad hoc, and record the change.

Frequently Asked Questions

What is petty cash?

A small fund of cash kept on site by a business to pay for minor, immediate expenses — postage, taxi fares, small supplies — where raising a purchase order or writing a cheque would be disproportionate. It’s held by a named custodian and recorded in a petty cash log.

What is the imprest system?

The standard method of running petty cash. The fund is set at a fixed float; cash spent is replaced by receipts and vouchers, so cash plus receipts always equals the float. When the fund runs low it’s reimbursed back to exactly that float amount.

How much should a petty cash float be?

Enough to cover roughly a month of genuine small expenses without needing an emergency top-up, and no more. Most small offices manage with a modest amount; the right figure is one that runs down over a month rather than sitting largely untouched, since idle cash on the premises is a risk without a benefit.

What should a petty cash log include?

Date, voucher number, description, who received the cash, expense category, amount out, amount in, and a running balance — with the float, custodian, and period at the top and a reconciliation block at the foot.

What is a petty cash voucher?

The individual slip completed for each disbursement, signed by the person taking the cash, with the receipt attached. Its number is recorded in the log so the two can be matched.

How do I reconcile petty cash?

Count the cash in the box, total the vouchers and receipts, and add them together. The total should equal the float. Any difference is an overage or shortage — record it on the log and investigate rather than adjusting the balance to fit.

What should petty cash not be used for?

Payroll or salary advances, personal loans or IOUs, and anything large enough to go through normal purchasing. If an expense has an invoice, it belongs in accounts payable, not in the cash box.

Who should hold the petty cash?

One named custodian, usually an office manager or administrator, with a locked box and sole access. Someone else should perform the periodic count, so that holding the cash and verifying it aren’t the same person’s job.

A payment reminder — also called a credit reminder or dunning letter — is the note a business sends a customer whose invoice has gone unpaid. Done well, it’s a sequence rather than a single letter: a polite nudge first, a firmer follow-up next, and a final notice only if those don’t work. The free templates below are editable MS Word files, and beneath them you’ll find sample wording for each stage, plus the things that actually make the difference between getting paid and getting ignored.

The Escalation Sequence

The most common mistake is sending the same letter three times, getting angrier each round. A working sequence changes tone deliberately, and each stage has a job:

Stage

Timing

Tone

What it does

Courtesy reminder

3–7 days before due

Helpful

Catches invoices sitting unapproved. Costs nothing and prevents a good share of late payments.

First reminder

1–7 days overdue

Warm, assumes oversight

Re-sends the invoice and payment details. Most invoices are settled at this stage.

Second reminder

14–21 days overdue

Business-like, direct

References the first, states the terms, asks for a specific payment date. Follow up by phone.

Final notice

30–45 days overdue

Formal

States the consequence and a deadline. Sent by email and post for the record.

Two rules govern the whole sequence. Never start at the top. You have one escalation to spend, and spending it in week one leaves you nowhere to go in week six. And don’t threaten what you won’t actually do — a final notice promising legal action you have no intention of taking teaches that customer to ignore your letters permanently.

Sample: First Reminder

Subject: Invoice INV-2026-0264 — payment reminder

Dear Ms Whitfield,

I hope you’re well. This is a quick reminder that invoice INV-2026-0264 for $3,480.00, issued on 12 August 2026, fell due on 11 September and is currently showing as unpaid on our account.

I’ve attached a copy in case it’s easier than digging it out. If it’s already been sent for payment, please ignore this note — and if you’re able to let me know the payment date, I’ll mark the account accordingly.

Payment details:
Springfield Bank | Account 0012 3456 7890 | Sort/Routing 04-22-19
Please quote INV-2026-0264 as the reference.

If there’s a query on the invoice, just reply and I’ll sort it out.

Kind regards,

D. Ferreira
Accounts, BrightTech Office Supplies · (555) 014-2200

Notice what this letter does: it attaches the invoice, gives the bank details in the message itself, offers the customer a graceful exit (“if it’s already been sent for payment”), invites a query, and — the important part — asks a question that needs answering. “Please make payment” can be ignored without awkwardness. “Can you let me know the payment date?” is harder to leave unanswered.

Sample: Final Notice

Subject: FINAL NOTICE — Invoice INV-2026-0264, 45 days overdue

Dear Ms Whitfield,

Despite reminders sent on 12 and 26 September, invoice INV-2026-0264 for $3,480.00, due on 11 September 2026, remains unpaid. The account is now 45 days overdue.

We ask that payment is received in full by Friday 31 October 2026.

If payment is not received by that date, we will suspend further supply to your account and refer the balance to our collections agent. We would prefer not to take either step, and if there is a difficulty with this invoice we are willing to discuss a payment arrangement — but we need to hear from you before the date above.

Payment details:
Springfield Bank | Account 0012 3456 7890 | Sort/Routing 04-22-19 | Ref: INV-2026-0264

Yours sincerely,

D. Ferreira
Accounts, BrightTech Office Supplies · (555) 014-2200
Sent by email and by post.

Still not aggressive — but every sentence is now doing something. It lists the previous reminders (building the record), names a specific deadline rather than “immediately,” states exactly what happens next, and leaves the door open to an arrangement. The line about sending by email and post matters too: if this ever goes further, you want to show the letter was properly served.

What Actually Gets You Paid

Put the payment details in the reminder. A meaningful share of late payments are simply people who’d have to go hunting for your bank details. Remove the friction and some invoices pay themselves.

Attach the invoice again. Don’t make the customer search their inbox — the version you attach is the version they’ll act on.

Ask a question. A request for a payment date requires a reply; a request for payment doesn’t.

Write to the right person. Your day-to-day contact often isn’t who releases money. By the second reminder, address it to accounts payable as well.

Phone after the second reminder. A two-minute call resolves more thirty-day debt than any letter, because it surfaces the real reason — which is usually not what you assumed.

Keep the record. Save every reminder sent, with dates. If the debt is eventually referred on, that trail is the first thing you’ll be asked for.

Stay polite throughout. Not for sentiment — because a customer who feels ambushed disputes the invoice, and a disputed invoice takes months longer than a late one.

When It Isn’t Forgetfulness

Reminders solve exactly one problem: an invoice that slipped through. Past about thirty days, that’s usually not what’s happening, and sending a fourth letter won’t change anything. The common real causes:

The invoice is stuck in an approval queue — often because it’s missing a purchase order number, or was sent to a person rather than the accounts inbox.

There’s a dispute you don’t know about — a quantity short-delivered, a price different from the quotation, work considered incomplete. Customers frequently sit on an invoice rather than raising it.

They believe they’ve paid. Ask for the remittance advice — either it exists and you have an allocation problem at your end, or it doesn’t and the payment was never made.

They can’t pay right now. An agreed instalment arrangement recovers far more than a threat does, and it’s worth offering explicitly.

All four are found by asking, not by writing again. That’s why the phone call after the second reminder is the single highest-value step in the whole process.

Late Payment Interest and Fees

Many jurisdictions allow businesses to charge interest and recovery costs on overdue commercial debt, and some grant a statutory right to do so even where the contract is silent. Your own terms may also provide for a late fee.

Two practical points. First, the charge should have been stated on the invoice and in your terms before the debt arose, not introduced at the reminder stage. Second, plenty of suppliers state the right and choose not to apply it to customers they want to keep — the mention alone often works. Check what’s permitted where you operate before putting a figure in a letter.

Frequently Asked Questions

What is a payment reminder letter?

A letter or email from a business to a customer whose invoice is unpaid, asking for payment. It’s also called a credit reminder or dunning letter, and it usually forms part of a sequence that escalates from a polite nudge to a formal final notice.

When should I send the first payment reminder?

Within a week of the due date — many businesses send it the day after. Waiting a month signals that your payment terms aren’t taken seriously, and the longer a debt ages the harder it becomes to collect.

How many reminders should I send before escalating?

Typically three: a first reminder in the first week overdue, a second at around two to three weeks with a phone call alongside it, and a final notice at thirty to forty-five days. More than that and the reminders themselves stop carrying weight.

How do I write a strong letter for outstanding payment?

Strong doesn’t mean angry. State the invoice number, amount, and due date; list the reminders already sent; give a specific payment deadline rather than “immediately”; say precisely what happens if it passes; and offer to discuss an arrangement. Firm and specific beats emotional every time.

What is a letter before action?

A formal final notice warning that legal proceedings will follow if payment isn’t received by a stated date. In some jurisdictions sending one is expected before a court claim. If you send it, be prepared to follow through — and take advice before starting proceedings.

Can I charge interest on late payments?

Often yes for commercial debts, and some jurisdictions provide a statutory right to interest and recovery costs. Your terms should have stated it before the debt arose. Check the rules where you operate before applying a charge.

Should I send reminders by email or post?

Email for the early stages — faster, and it reaches the accounts inbox. For the final notice, send both: email for speed, post for the record. If the matter ever escalates, being able to show the notice was properly served matters.

What should I do if the customer says they’ve already paid?

Ask for the remittance advice and the payment reference. If they have one, check whether the payment arrived unallocated at your end — it happens more often than people expect. If they can’t produce one, the payment usually wasn’t released.

A check requisition — or cheque requisition — is the internal form used to ask your organization’s finance department to issue a payment. Staff at universities, nonprofits, schools, and companies use it for the payments that fall outside the normal purchasing route: reimbursements, honoraria, refunds, grant disbursements, membership dues, deposits, and one-off supplier payments. The free templates below are editable MS Word forms, and beneath them you’ll find a filled-in example and the details that determine whether finance processes your request or sends it back.

Why the Form Exists

The short answer is segregation of duties: the person who requests a payment should not be the person who issues it. That principle sits behind almost every control in an accounts payable function, and the requisition is how it works in practice — you document what you need paid and why, someone with budget authority approves it, and finance acts on an approved instruction rather than a conversation.

That explains every field on the form. The payee details are there so finance can pay the right party. The account code is there so the cost lands in the right budget. The supporting documentation is there so someone reviewing the transaction a year later can see what it was for. And the approval signature is there so that the person who spent the money isn’t the person who released it.

Understanding this makes the form much easier to complete properly, because you can tell which fields are administrative and which are the ones an auditor will look at.

What Goes on a Check Requisition

Requisition number and date — sequential, so requests can be tracked and chased.

Requester details — name, department, employee or staff number, phone, and email. Finance needs to reach you quickly if anything is missing.

Payee name, exactly as it should appear on the cheque — and exactly as it appears on any tax form or vendor record you hold. “J. Smith Consulting” and “Jane Smith” are different payees.

Payee’s full mailing address. Cheques get posted; an incomplete address is one of the most common reasons a requisition is returned.

Amount, in figures and in words.

Purpose of payment — a specific description, not a category. “Guest lecture honorarium, Prof. A. Nair, 14 October” tells a reviewer everything; “professional services” tells them nothing.

Account code, cost centre, or GL code to be charged, and the project or grant reference where applicable.

Invoice or reference number, if the payment relates to one.

Supporting documentation attached — usually a tick-list: invoice, receipt, contract or letter of agreement, tax form. See below; this is the field that causes most rejections.

Date required, and the reason if it’s urgent.

Delivery instruction — mail directly to the payee, return to the requester, hold for collection, or send with an enclosure.

Requester’s signature and date.

Approval signatures — budget holder or department head, plus a second approver above whatever threshold your organization sets.

Finance use only — cheque number, date issued, processed by. Leave this blank; it’s completed at the other end.

The two fields doing the most work here are the purpose and the documentation tick-list. A purpose line that names the lecture, the date, and the agreement it rests on means nobody has to ask what the payment was for — not the approver this week, and not an auditor in two years.

Requisition, Purchase Order, or Expense Claim?

Three ways money leaves an organization, and most finance offices are specific about which route applies:

A purchase order is used when buying goods or services from a supplier. It commits the organization before delivery, and the supplier’s invoice is matched against it. This is the default route for anything procurement-related.

A check requisition is used for payments that don’t fit that model — honoraria, refunds to individuals, grant and prize payments, deposits, subscriptions, regulatory fees. There’s often no supplier and no purchase order to match against.

An expense claim is used when an employee has already paid personally and is being reimbursed.

One caution worth knowing before you submit: most organizations restrict what may be paid by requisition precisely to stop it being used as a shortcut around procurement. If you’re paying a supplier for goods or services that should have gone through a purchase order, expect the requisition to be returned — check your own finance policy rather than assuming.

Getting It Approved First Time

Attach the documentation. This is the single biggest cause of returned requisitions. Finance cannot issue a payment against a description alone — there needs to be an invoice, receipt, signed agreement, or award letter behind it.

Get the payee name exactly right. It must match the bank account or tax record, or the cheque may be unbankable. Ask the payee how they want to be paid rather than guessing.

Include the full mailing address, including postal code. Missing addresses stall more payments than wrong amounts do.

Write a purpose a stranger could follow. Name what, who, and when. If someone outside your department can’t tell what was bought, rewrite it.

Know your approval thresholds. Above a certain amount most organizations require a second signature — submitting with one guarantees a delay.

Allow for the cheque run. Finance offices typically issue cheques on a schedule — weekly or twice monthly — so a requisition submitted the day before it’s needed usually won’t make the cut. Find out your organization’s cut-off and work back from it.

Keep a copy with the supporting documents. When the payee asks where their cheque is, your copy is what lets you answer.

A Note on Bank Chequebook Requisitions

If you arrived looking for a cheque requisition slip from a bank — the form used to order a new chequebook on your account — that’s a different document, and it isn’t one you can prepare from a template. Chequebook requests are made on the bank’s own pre-printed slip, usually bound into the back of your current chequebook, or through internet or mobile banking. The templates on this page are internal organizational forms for requesting that a payment be issued.

Frequently Asked Questions

What is a check requisition?

An internal form used to request that your organization’s finance department issue a cheque to a named payee. It records who is being paid, how much, what for, which budget it’s charged to, and who approved it.

What is the difference between a check requisition and a purchase order?

A purchase order commits the organization to buy goods or services from a supplier before delivery, and the supplier’s invoice is matched against it. A check requisition requests a payment that falls outside that route — honoraria, refunds, grants, deposits, fees — where there’s no purchase order to match.

What documents do I need to attach?

Whatever evidences the payment: an invoice, a receipt, a signed agreement or contract, an award or offer letter, or the payee’s tax form where your organization requires one. Missing documentation is the most common reason requisitions are sent back.

Who has to approve a check requisition?

At minimum the budget holder or department head. Most organizations require a second approver above a set amount, and some require additional sign-off for grant or restricted funds. Check your own delegation of authority before submitting.

How long does a check requisition take to process?

It depends on your finance office’s cheque run — weekly and twice-monthly schedules are both common — plus approval time and postage. Assume one to three weeks unless your organization publishes something faster, and submit well before the date the payee needs the money.

Can I use a check requisition to pay a supplier invoice?

Sometimes, but many organizations restrict it — supplier purchases are supposed to go through the purchase order process, and requisitions exist for payments that don’t fit that model. Using one as a workaround is the fastest way to have it rejected. Check your finance policy.

What is a cheque requisition slip at a bank?

A request to your bank for a new chequebook, usually made on a pre-printed slip in the back of your existing book or through online banking. It’s unrelated to the internal payment request forms on this page.

A sales receipt is the proof of purchase a seller gives a buyer once payment has been made. It records what was bought, what it cost, when, and how it was paid — which is what makes returns, warranty claims, expense reimbursement, and bookkeeping possible afterwards. The free templates below are editable MS Word files for shops, market stalls, tradespeople, and anyone selling in person. Below them you’ll find every field a receipt should carry, a filled-in example, and how a receipt differs from an invoice and a bill of sale.

What a Sales Receipt Must Include

Your business details — name, address, phone, and your tax or business registration number where your jurisdiction requires it on receipts.

Receipt number — sequential, so a day’s sales reconcile and any single sale can be found again.

Date and time of the sale. Time matters more than it seems: return windows and warranty periods run from it.

Itemized lines — description, quantity, unit price, and line total for each item. Specific descriptions (“EC-450 office chair, black”) beat generic ones when someone returns an item three weeks later.

Subtotal, tax, and total — with the tax rate and amount on their own line, which buyers claiming expenses or input tax will need.

Payment method — cash, card (last four digits only), transfer, or mobile payment. For cash sales, also show amount tendered and change given — it settles disputes at the counter before they start.

Return and exchange policy — the field most often left off, and the one customers come back for. A single line is enough: “Returns accepted within 14 days with this receipt, unused and in original packaging.”

Served by — the salesperson or till reference, so you can trace the sale internally.

Sales Receipt vs. Invoice vs. Bill of Sale

An invoice requests payment. It’s issued after delivery but before the money arrives, and it creates a receivable in the seller’s books.

A sales receipt confirms payment. It’s issued at the point of sale, once the money has changed hands, and it’s the buyer’s proof of purchase.

A bill of sale transfers ownership of a specific item. It goes further than a receipt: it identifies the item precisely, names both parties, and is often required to register the change of ownership — most commonly for vehicles.

For payments received outside a retail sale — rent, wages, deposits, service payments — see our cash receipt templates.

Selling a Car or Other Vehicle Privately

If you’re selling a vehicle, a plain sales receipt usually isn’t the right document. Registration authorities and insurers typically want a bill of sale containing the vehicle identification number (VIN), make, model and year, the odometer reading on the day of sale, the sale price and date, both parties’ names, addresses and signatures, and — where you’re selling with no warranty — explicit “sold as is” wording. Some jurisdictions require a specific form or notarization, and many require the seller to notify the licensing authority separately so liability transfers cleanly.

For a higher-value sale, or one where payment is staged or conditional, the transaction is better handled with a vehicle purchase agreement setting out the terms, with a bill of sale signed at handover. Check what your local licensing authority requires before you agree the sale, not after.

Keeping Receipts

Number receipts sequentially with no gaps, and keep a copy of every one you issue — a duplicate book, or a second printed copy filed by month. If a receipt is spoiled, mark it cancelled and keep it rather than discarding it, and never alter one after it’s been given to a customer; issue a corrected receipt with a new number instead. Retain your copies for as long as your tax authority can query the period — the exact retention rule varies, so check the requirement where you operate.

Frequently Asked Questions

What is a sales receipt?

A document a seller gives a buyer as proof that a purchase was made and paid for. It lists the items, the amount, the date, and the payment method, and it’s what the buyer relies on for returns, warranty claims, and expense records.

What is the difference between a sales receipt and an invoice?

An invoice asks for payment; a receipt confirms it was made. The invoice comes first and creates the amount owed; the receipt is issued once the money has been received.

What should a sales receipt include?

Your business and tax details, a sequential receipt number, the date and time, itemized lines with quantities and prices, subtotal, tax shown separately, the total, the payment method (with tendered and change for cash), and your return policy.

Is a handwritten sales receipt valid?

Yes — what matters is the content, not how it was produced. Include the same fields you would print, and keep a duplicate. A printed template simply makes receipts faster, more legible, and less likely to be missing a field.

Do I need to show tax separately on a receipt?

In most jurisdictions that operate a sales tax or VAT, yes — and buyers claiming expenses or input tax will need it regardless. Show the rate and the amount on their own line rather than folding tax into the total.

Is a receipt enough when selling a car privately?

Usually not. A bill of sale with the VIN, odometer reading, sale price, date, both signatures, and “as is” wording is what registration authorities generally expect — and some require a specific form. Check your local licensing authority’s requirements before completing the sale.

A vehicle expense report records what a car, van, or motorcycle actually costs to run — mileage driven, fuel, servicing, insurance, and repairs — either to claim reimbursement from an employer or client, to support a tax deduction, or simply to know what your own vehicle is costing you. The free templates below cover both personal and commercial use. For general business expenses — travel, meals, accommodation, supplies — see our expense report templates instead.

What a Vehicle Expense Report Covers

Three kinds of record, often kept together:

Mileage log — every business journey with its date, purpose, start and end odometer readings, and miles driven. This is the record that reimbursement and tax claims are actually built on, and the one most people reconstruct badly from memory months later.

Running costs — fuel, servicing, repairs, tyres, insurance, road tax, parking, tolls, and cleaning. Kept with dates, amounts, and receipts.

The claim or summary — the report you submit: total business miles at the applicable rate, or the business share of actual costs, with receipts attached.

What a Mileage Log Looks Like

The core record. Keep it in the vehicle, or fill it in the same day — a log written contemporaneously is far more defensible than one assembled at year end:

Two details make a log worth keeping: the purpose column, because “client meeting — Meridian Ltd” is evidence and “business trip” isn’t, and logging personal journeys too, so the odometer readings run continuously. A log with gaps invites the question of what happened in them.

Two Ways to Claim: Mileage Rate or Actual Costs

Whether you’re claiming from an employer or against tax, there are broadly two methods, and you generally can’t mix them for the same vehicle in the same period:

1. A rate per mile (or kilometre). You multiply business miles by a set rate that’s intended to cover fuel, wear, servicing, insurance, and depreciation together. Simple, and it only requires a mileage log. Most employers reimburse this way, and many tax authorities publish an approved rate — check the current figure for your country, since rates are revised periodically and often differ for cars, vans, and motorcycles.

2. Actual costs, apportioned. You total everything the vehicle costs over the year — fuel, insurance, servicing, repairs, tyres, road tax, and often depreciation or finance costs — then claim the business proportion, based on business miles as a share of total miles. More paperwork, and it needs receipts for everything, but it can be worth more for expensive vehicles, high running costs, or low-efficiency engines.

Either way you still need the mileage log: method one to count the miles, method two to work out the business percentage. Rules on which method you may use, and whether you can switch, vary by country and by whether the vehicle is personally or company-owned — worth confirming with your accountant before the year starts rather than after it ends.

Business Versus Personal Use

The split between business and personal mileage is the number everything else depends on, so record it as you go. Two points that catch people out:

Ordinary commuting usually isn’t business mileage. Travel between home and your normal place of work is generally treated as personal in most tax systems, even though it’s plainly work-related. Journeys between workplaces, to clients, or to temporary sites usually do count. The distinction matters, and it’s the most common reason a claim gets reduced.

Round trips need both legs. Log the return journey, or half your business mileage quietly disappears.

Tracking What Your Own Car Costs

Even with no claim to make, a running-cost record is worth keeping — most people underestimate what their vehicle costs by a wide margin, because the expenses arrive separately and never get added up.

Track fuel with the odometer reading each time you fill up, and you get your real consumption rather than the manufacturer’s figure. Add the annual fixed costs — insurance, road tax, servicing, tyres, any finance payment — and divide the yearly total by miles driven, and you have your true cost per mile. That single number makes several decisions easier: whether a longer commute is affordable, whether a second car earns its keep, and whether replacing an ageing vehicle actually saves money or just moves the cost around. It also feeds straight into a monthly budget, where vehicle costs are routinely underestimated.

Frequently Asked Questions

What is a vehicle expense report?

A record of what a vehicle costs to operate — business mileage, fuel, servicing, insurance, and repairs — used to claim reimbursement from an employer or client, to support a tax deduction, or to track personal running costs.

What should a mileage log include?

For each journey: the date, start and end points, the business purpose, odometer readings at the start and end, the miles driven, and whether the trip was business or personal. Totals per month make claiming straightforward.

Is commuting counted as business mileage?

Usually not. Travel between home and your regular workplace is generally treated as personal in most tax systems, while travel between workplaces, to clients, or to temporary sites typically qualifies. Check the rule that applies where you are, since definitions of a temporary workplace differ.

Should I claim a mileage rate or actual costs?

The mileage rate is simpler and needs only a log; actual costs can be worth more for expensive or thirsty vehicles but require receipts for everything and an accurate business-use percentage. Which methods are available to you depends on your country’s rules and whether the vehicle is personally or company-owned — ask your accountant before the tax year starts.

How long should I keep mileage records?

As long as your tax authority can query the return they support — commonly several years. Keep the log itself, not just the summary, along with fuel and repair receipts if you’re claiming actual costs.

Can I keep a mileage log on paper?

Yes. What matters is that it’s contemporaneous, complete, and specific about purpose — a paper log filled in at the time is more credible than a spreadsheet reconstructed at year end. Print the template, keep it in the vehicle, and transfer the totals monthly.

A cash receipt — also called a money receipt — is a written acknowledgment that a payment has been received. It’s issued by whoever takes the money to whoever paid it, which makes it the mirror image of an invoice: the invoice asks, the receipt confirms. Landlords, shopkeepers, service providers, employers paying cash wages, and anyone taking a deposit should issue one. The free templates below are editable MS Word files, and below them you’ll find the fields every receipt needs, a filled-in example, and the variants for rent, salary, cheque, and advance payments.

What a Cash Receipt Must Include

Receipt number — sequential, with no gaps. The numbering is what makes a set of receipts auditable.

Date the payment was received.

Received from — the payer’s full name (and address, for rent or larger payments).

Amount in figures and in words — write “$450.00” and “Four hundred fifty dollars only.” This is the oldest safeguard in bookkeeping: figures can be altered with a pen stroke, words can’t. Ending with “only” closes the line against additions.

Payment method — cash, or cheque with its number, bank, and date; bank transfer with the reference. A receipt that just says “paid” leaves you unable to trace it later.

What the payment is for — “October rent, Flat 4B,” “advance for catering order,” “invoice INV-2026-0231.” One specific line prevents most disputes.

Amount paid and balance remaining — essential for partial payments and installments. Show both, so neither side has to reconstruct the arithmetic later.

Received by — the name, title, and signature of the person accepting the money, plus your business name and contact details.

Common Types of Cash Receipt

The same structure covers most situations — only the “being payment for” line really changes:

Rent receipt — name the property or unit and the period covered (“September 2026 rent, Flat 4B”). Tenants often need these for deposits, visa applications, and tax purposes, so keep the copies.

Cash salary receipt — where wages are paid in cash, the employee signs acknowledging the amount and the period (“salary for August 2026”). Both sides should keep a copy; it’s the only record the payment happened.

Cheque receipt — acknowledges a cheque handed over, not cleared funds. Record the cheque number, bank, and cheque date, and consider noting “subject to realization” so the receipt isn’t read as confirming the money has actually landed.

Advance or deposit receipt — state the total amount agreed, the advance received, and the balance due, so the arrangement is legible from the receipt alone.

Service or job payment receipt — describe the work (“plumbing repair, kitchen — 2 Sept”) rather than just “services,” which helps both parties at tax time.

Keeping Receipts Properly

A few habits make a receipt book worth having. Number receipts sequentially and never skip a number — gaps are the first thing anyone reviewing your records will ask about. Write in duplicate (carbon books, or print two copies): one for the payer, one retained. If you spoil a receipt, mark it “cancelled” and keep it in the book rather than tearing it out. Never alter an issued receipt — if something was wrong, cancel it and write a fresh one with a new number. And file the retained copies by month; the point of a receipt is being able to find it two years later when someone asks.

Cash Receipt vs. Invoice

An invoice is a request for payment, issued before the money arrives; a cash receipt confirms payment after it arrives. Most transactions generate both — the invoice creates the amount owed, the receipt closes it. For retail and point-of-sale transactions, see our sale receipt templates; for tracking small office cash disbursements, the petty cash log works alongside receipts, and staff reimbursements are handled with an expense report.

Frequently Asked Questions

What is a cash receipt?

A written acknowledgment that a payment has been received, issued by the person or business receiving the money to the person who paid it. It records the amount, date, payer, purpose, and who accepted the payment.

What should a cash receipt include?

A sequential receipt number, the date, the payer’s name, the amount in figures and words, what the payment is for, the payment method, any balance remaining, and the signature of the person who received it — plus your business name and contact details.

Why write the amount in words as well as figures?

Because figures are easy to alter and words are not. Writing “$450.00” alongside “Four hundred fifty dollars only” makes the receipt tamper-resistant, which is why the practice survives on cheques and handwritten receipts everywhere.

Is a handwritten receipt valid?

Generally yes — what matters is the content, not whether it was typed: the amount, date, payer, purpose, and the signature of whoever received the money. A printed template simply makes it faster, more legible, and harder to lose a field.

What is the difference between a receipt and an invoice?

An invoice asks for payment; a receipt confirms it was made. The invoice comes first and creates the amount owed, the receipt comes after and settles it.

Should I give a receipt for a cheque payment?

Yes — but record the cheque number, bank, and date, and note that the receipt acknowledges the cheque rather than cleared funds. If the cheque bounces, that wording keeps the position clear.

A sales quotation (also called a price quotation or simply a quote) is a document a seller sends to a potential customer stating the price of specific goods or services, along with quantities, delivery terms, and how long the offer remains valid. Unlike an invoice, a quotation is sent before the sale — it gives the buyer a firm price to accept, negotiate, or compare against other vendors. Below you’ll find free sales quotation templates in MS Word format, plus a filled-in sample and a checklist of everything a professional quote should include.

What to Include in a Sales Quotation Format?

A complete quotation protects both sides: the buyer knows exactly what they’re getting and at what price, and the seller has a written record of the offer and its conditions. Every quotation format should contain:

Quotation number and date — a unique reference (e.g. Q-2026-0148) so both parties can track the quote in follow-up emails and purchase orders.

Seller and buyer details — company names, addresses, and contact persons for both parties.

Itemized list of products or services — each line with a description, quantity, unit price, and line total. Vague descriptions cause disputes later; specific ones close deals.

Subtotal, tax, and grand total — show the tax rate and amount separately so the buyer sees exactly how the final figure is calculated.

Validity period — e.g. “This quotation is valid for 30 days from the date above.” Without it, a buyer could try to accept an outdated price months later.

Payment and delivery terms — advance percentage, payment due dates, delivery timeline, and who bears shipping costs.

Terms and conditions — warranty coverage, return policy, and anything excluded from the price.

Authorized signature — the quote becomes a credible offer when signed by someone with authority to honor it.

Quotation vs. Invoice vs. Proforma Invoice

These three documents look similar but serve different stages of a sale, and mixing them up can delay payment or cause tax problems:

Quotation — sent before the sale. It’s an offer: no goods have changed hands and no payment is due. The buyer can accept, reject, or negotiate.

Proforma invoice — sent after the buyer agrees but before delivery. It confirms the committed details of the sale (often required for import customs or advance payment) but is still not a demand for payment.

Invoice — sent after goods or services are delivered. It’s the formal request for payment and the document that enters both parties’ accounting records. See our collection of Free Invoice Templates.

In short: a quotation says “this is what it would cost,” a proforma invoice says “this is what it will cost,” and an invoice says “this is what you now owe.”

Frequently Asked Questions

Is a sales quotation legally binding?

A quotation is an offer, not a contract. It generally becomes binding only when the buyer accepts it within the validity period — which is exactly why every quotation should state how long it remains valid. Rules vary by jurisdiction, so include clear terms and check local requirements for high-value quotes.

How long should a quotation be valid?

Most businesses use 15, 30, or 60 days. Choose a shorter window if your costs fluctuate (materials, exchange rates) and a longer one for stable-price services where buyers need internal approval time.

What is the difference between a quotation and an estimate?

A quotation is a fixed price the seller commits to honor if accepted in time. An estimate is an approximate figure that may change as the work is scoped. Use a quotation when you can price the job precisely; use an estimate when variables remain.

Can I convert a quotation into an invoice?

Yes — once the buyer accepts and the goods or services are delivered, copy the accepted line items into an invoice, reference the quotation number on it, and add payment instructions and the due date.
