What&#8217;s on it, where it sits on the page, and how the price is written all affect what people order and what the kitchen makes on each table. The free templates below are editable MS Word designs for cafés, restaurants, pubs and food trucks — and beneath them you&#8217;ll find how to decide what belongs on the menu, how to lay out prices, and what has to be declared by law.</p>
<h2>Menu Engineering: Deciding What Stays</h2>
<p>Before designing anything, work out which dishes deserve the space. Plot every item against two things you already know: <strong>how often it sells</strong>, and <strong>how much cash profit it makes</strong> — the actual money left after food cost, not the percentage.</p>
<p>That sorts the menu into four groups:</p>

<p>Run this every few months using your own till data. Most menus carry two or three dogs that nobody has looked at in a year, and removing them usually simplifies the kitchen as well as the page.</p>
<p>One point people get wrong: <strong>judge by cash profit, not food cost percentage.</strong> A dish at 25% food cost that makes £4 is worth less to you than one at 35% that makes £9. You bank pounds, not percentages.</p>
<h2>How Prices Are Presented</h2>
<p>Three layout decisions change ordering behaviour more than any font choice:</p>
<p><strong>Drop the currency symbol.</strong> Write &#8220;14&#8221; rather than &#8220;£14.00&#8221;. Currency symbols make the reader think about money rather than food, and the decimals add nothing — nobody&#8217;s menu is priced at £14.37.</p>
<p><strong>Never use a right-aligned price column.</strong> This is the most common mistake on home-made menus. A neat column of prices down the right edge invites people to read <em>down the prices</em> and then across to the dish, so they choose by cost rather than by appetite. Put the price immediately after the description, in the same size and weight of type, so it reads as part of the sentence rather than as a figure to compare.</p>
<p><strong>Avoid dot leaders.</strong> The row of dots joining a dish to its price does the same job as a price column, just more emphatically.</p>
<p>One more that&#8217;s worth knowing: a genuinely expensive item near the top of a section makes everything below it look reasonable. You don&#8217;t need to sell many of them for the effect to work — which is part of why most menus carry one dish that seems out of place.</p>
<h2>Writing Dish Descriptions</h2>
<p>Descriptions sell dishes, and specificity is what does the work. &#8220;Chicken sandwich&#8221; and &#8220;buttermilk chicken in a brioche bun with house pickles and smoked paprika mayo&#8221; are the same dish at different prices, and the second sells better at the higher one.</p>
<ul>
<li><strong>Name the provenance</strong> where it&#8217;s true — the farm, the region, the supplier. &#8220;Cornish crab&#8221; beats &#8220;crab&#8221; and costs nothing to write.</li>
<li><strong>Name the preparation</strong> — slow-roasted, charred, hand-rolled, aged. Method suggests care.</li>
<li><strong>Keep it to a line.</strong> Two at most. Long descriptions slow a menu down and make it look like a leaflet.</li>
<li><strong>Don&#8217;t describe everything.</strong> If every dish gets a paragraph, none stands out. Describe the dishes you want to sell.</li>
<li><strong>Be accurate.</strong> &#8220;Homemade&#8221; and &#8220;local&#8221; have specific meanings to customers and, in some places, to trading standards.</li>

<h2>Layout and Structure</h2>
<ul>
<li><strong>Six or seven dishes per section.</strong> More choice doesn&#8217;t feel generous, it feels like work — and people faced with too many options default to whatever they&#8217;ve eaten before. It also simplifies your prep and cuts waste.</li>
<li><strong>Follow the order of the meal</strong> — starters, mains, sides, desserts. Don&#8217;t make a customer hunt.</li>
<li><strong>Use a box, a border, or a shaded panel sparingly.</strong> The eye goes to the boxed item, so box the dish you most want to sell. Box three and the effect disappears.</li>

<h2>Allergens and Legal Requirements</h2>
<p>The part no template can handle for you, and the part that matters most.</p>
<p>In the <strong>UK and EU</strong>, food businesses must be able to tell customers whether any of <strong>14 specified allergens</strong> are present in a dish — cereals containing gluten, crustaceans, eggs, fish, peanuts, soybeans, milk, nuts, celery, mustard, sesame, sulphur dioxide, lupin and molluscs. You can provide this on the menu itself, or state clearly on the menu that the information is available and have it accurate and to hand for staff. Additional rules apply to food that is pre-packed for direct sale, which must carry a full ingredient list with allergens emphasised.</p>
<p>In the <strong>United States</strong>, chain restaurants above a certain number of locations face calorie labelling requirements on menus and menu boards, and state and local rules vary considerably.</p>
<p>Elsewhere the specifics differ, but the direction of travel is the same. Three things worth doing regardless of jurisdiction:</p>
<ul>
<li><strong>Print a line on the menu</strong> telling customers to ask about allergens before ordering — as in the sample above.</li>
<li><strong>Keep an accurate allergen matrix</strong> in the kitchen, updated whenever a recipe or supplier changes. The menu points to it; the matrix is what actually protects someone.</li>
<li><strong>Brief your staff.</strong> &#8220;I think it&#8217;s fine&#8221; is the answer that causes harm. Staff should know where the matrix is and that checking is always the right response.</li>
</ul>
<p>Also check what your local rules require on <strong>price display</strong> — many jurisdictions require prices to be visible before ordering, including any service charge or cover charge, and to include tax where that&#8217;s the convention.</p>

<h2>Printing and Updating</h2>
<ul>
<li><strong>Print in-house if you change prices often.</strong> A menu you can reprint on a Tuesday is worth more than a beautiful one you&#8217;re stuck with for a year while costs move.</li>
<li><strong>Laminate or use menu covers</strong> for anything handled by customers. An unlaminated paper menu looks tired within a fortnight.</li>
<li><strong>Use heavier stock</strong> — 250 gsm or more — for single-sheet menus.</li>
<li><strong>Keep specials separate</strong> on a clip-in insert or a board, so the main menu doesn&#8217;t need reprinting when the fish changes.</li>
<li><strong>Check it under your own lighting</strong> before committing to a print run. A menu that reads perfectly at a desk can be unreadable at a candlelit table.</li>
<li><strong>Publish a PDF or text version online</strong>, and keep it current — an out-of-date menu on your website causes more complaints than most restaurants realise. Plain text is better than an image for accessibility and for search.</li>
<li><strong>Date your master file</strong> so you know which version is current when you come to revise it.</li>

<h2>How to Build a Newsletter in Word</h2>
<ol>
<li><strong>Start with the masthead.</strong> Insert a table with one row, or a text box across the top, and put the newsletter name, organization, issue number, and date inside it. Build it once and it carries to every issue.</li>
<li><strong>Set up columns for the body</strong> — Layout ? Columns ? Two or Three. To keep the masthead full width, select only the body text first and choose &#8220;Apply to: Selected text,&#8221; or insert a continuous section break beneath the masthead.</li>
<li><strong>Use text boxes for the sidebar</strong> (Insert ? Text Box). Text boxes float independently of the column flow, which is what you want for dates and notices that shouldn&#8217;t move when a story grows.</li>
<li><strong>Insert photos with text wrapping set to Square</strong> (click the image ? Layout Options ? Square). The default &#8220;In Line with Text&#8221; fights the column layout.</li>
<li><strong>Use a small table for the calendar section</strong> — two columns, date and event. Far easier to keep aligned than tabs or spaces.</li>
<li><strong>Add a page border if you want one</strong> — Design ? Page Borders. Keep it thin; heavy borders eat the margin you need for readable columns.</li>
<li><strong>Save a master copy before filling it in</strong>, and save each issue under its own name. Next month you start from the empty master, not from last month&#8217;s stories.</li>

<h2>What to Put In It</h2>
<p><strong>School newsletters.</strong> Parents read them for dates, so put the calendar somewhere fixed and obvious. Beyond that: what classes have been working on, staff news, reminders about kit and equipment, achievements, and anything requiring a response with its deadline in bold. Keep it to one page — a two-page school newsletter loses most of its readers on page one.</p>
<p><strong>Staff and internal newsletters.</strong> These fail when they&#8217;re all announcements from the top. The ones people actually read mix organizational news with things about colleagues: joiners and leavers, work anniversaries, a team explaining what they do, a project that finished. Include something not everyone already knows.</p>
<p><strong>Club, community, and congregation newsletters.</strong> Dates, results, minutes in summary, volunteer requests with specific asks (&#8220;two people to help set up on Saturday morning&#8221; works far better than &#8220;volunteers needed&#8221;), and contact details for committee members.</p>
<p><strong>Customer and business newsletters.</strong> One genuinely useful item beats three promotional ones. Product news is fine; product news alone is why newsletters get binned.</p>
<p>Whatever the type, <strong>pick a frequency you can actually sustain</strong>. A monthly newsletter that appears monthly is worth more than a weekly one that stops in March.</p>
<h2>Print, PDF, or Email?</h2>
<p>These Word templates are built for <strong>print and PDF</strong>, and that&#8217;s a deliberate distinction worth understanding before you start.</p>
<p>Word gives you precise control over a printed page — columns, margins, image placement, page borders — and a PDF export that looks identical on every machine. That&#8217;s exactly right for newsletters going home in school bags, onto noticeboards, or out as an email attachment.</p>
<p><strong>It is not right for email newsletters sent as HTML.</strong> Pasting a Word document into an email client produces heavy, non-standard markup that breaks in many inboxes and rarely survives on a phone. If your newsletter is going out in the body of an email, use a dedicated email tool with proper responsive templates. The two jobs look similar and the underlying technology isn&#8217;t.</p>
<p>The practical middle ground, used by most schools and clubs: design in Word, export to PDF, and attach the PDF to a short email that summarizes the headlines. Readers get the layout, and nothing breaks.</p>

										<content:encoded><![CDATA[<p>A request for proposal (RFP) is the document an organization issues when it needs work done and wants vendors to propose how they&#8217;d do it — and at what price. It describes the problem, sets out the requirements, and tells bidders how and by when to respond, so the proposals that come back can be compared fairly. The free templates below are editable MS Word files for the buying side. <h2>RFI, RFQ, or RFP: Which One Do You Need?</h2>
<p>Three procurement documents, used at different stages and for different questions:</p>
<ul>
<li><strong>RFI — request for information.</strong> Exploratory. You&#8217;re not buying yet; you want to know who&#8217;s out there, what&#8217;s technically possible, and roughly what things cost. Use it early, before your requirements are settled.</li>
<li><strong>RFQ — request for quotation.</strong> You know exactly what you want, down to the specification, and you&#8217;re comparing suppliers on price and delivery. Little judgement involved: lowest compliant bid usually wins.</li>
<li><strong>RFP — request for proposal.</strong> You know the <em>problem</em> but not the best solution, and you want vendors to propose an approach. Evaluated on method, experience, and price together — which is why an RFP needs published evaluation criteria and an RFQ doesn&#8217;t.</li>
</ul>
<p>Choosing wrongly wastes everyone&#8217;s time: issuing an RFP when you already know exactly what you want produces long proposals nobody needed, and issuing an RFQ for an open-ended problem produces quotes for the wrong thing.</p>
<h2>What an RFP Should Contain</h2>
<ol>
<li><strong>About the organization</strong> — who you are, what you do, and enough context for a vendor to understand the environment they&#8217;d be working in.</li>
<li><strong>Statement of need</strong> — the problem or opportunity, stated as an outcome rather than a shopping list. &#8220;Our support team can&#8217;t meet a 12-hour response target with current tooling&#8221; tells a vendor more than &#8220;we need a ticketing system.&#8221;</li>
<li><strong>Scope of work and requirements</strong> — what&#8217;s in scope, what&#8217;s explicitly out, and any mandatory technical, regulatory, or compatibility requirements. Separate must-haves from nice-to-haves; vendors price them very differently.</li>
<li><strong>Deliverables</strong> — what you expect to receive, and in what form.</li>
<li><strong>Timeline</strong> — the procurement schedule and the project schedule. See the example below.</li>
<li><strong>Submission requirements</strong> — required proposal sections, page or word limits, file format, how and where to submit, and a single named contact for all questions.</li>
<li><strong>Evaluation criteria and weightings</strong> — how proposals will be scored. See the section below; this is the part most RFPs skip.</li>
<li><strong>Budget information</strong> — a range, a ceiling, or at minimum the pricing structure you want quoted (fixed price, day rate, milestone-based).</li>
<li><strong>Vendor qualifications</strong> — references, relevant experience, certifications, insurance, financial standing, and any compliance requirements.</li>
<li><strong>Terms and conditions</strong> — contractual terms, payment terms, IP ownership, confidentiality, and any standard clauses a winning vendor would have to accept.</li>
</ol>
<h2>The RFP Timeline</h2>
<p>Every RFP needs a schedule, and stating it up front is what makes the process manageable for both sides:</p>

<p>Publishing how you&#8217;ll score proposals — with weightings — is the single change that most improves the responses you get. For example: technical approach 35%, relevant experience and references 25%, price 30%, implementation timeline 10%.</p>
<p>It works for three reasons. Vendors write to what you&#8217;re actually measuring instead of guessing, so proposals become comparable. Bidders who can&#8217;t compete on your priorities self-select out, saving both sides the effort. And when you award the contract, the decision is defensible — internally to your own stakeholders, and externally to the vendors who lost. If your organization is bound by public procurement rules, published criteria are usually mandatory anyway; if it isn&#8217;t, they&#8217;re still the difference between a selection and an argument.</p>
<p>One caution: score against the criteria you published, in the weights you published. Changing the basis after proposals arrive is how procurement processes get challenged.</p>
<h2>Running a Fair Process</h2>
<ul>
<li><strong>Name a single point of contact</strong> for all vendor questions, and route everything through them.</li>
<li><strong>Collect questions by a deadline, then publish every question and answer to all bidders</strong> — including the ones only one vendor thought to ask. This is standard practice and the clearest signal that the process is honest.</li>
<li><strong>State the budget or a range.</strong> Withholding it rarely produces cheaper bids; it produces proposals scoped at the wrong size, which you then have to re-scope anyway.</li>
<li><strong>Say how many vendors you&#8217;re inviting</strong>, if you know. Serious bidders decide where to spend their proposal effort partly on the odds.</li>
<li><strong>Tell unsuccessful vendors promptly</strong>, and offer brief feedback. It costs an email and it&#8217;s why good vendors bid for your work again.</li>
