Free Grocery List Templates

A grocery list does two jobs: it stops you forgetting things, and it stops you buying things you didn’t come for. How well it does the second depends almost entirely on how it’s organized. The templates below are free, editable in MS Word, and include blank lists, aisle-ordered master lists, and versions built for particular diets. Below them you’ll find the one change that makes any grocery list work better, and the method most people switch to once they’ve tried it.

Order the List the Way the Shop Is Laid Out

Most lists are written in the order things occurred to you: milk, bin bags, apples, bread, washing-up liquid, cheese. Shopping from that list means crossing the store four times and, on the way, passing everything you weren’t there to buy.

An aisle-ordered list is one pass. Group items the way your supermarket is arranged, which in most stores runs roughly:

  1. Produce — fruit and vegetables, usually at the entrance
  2. Bakery
  3. Deli, meat and fish
  4. Dairy and eggs
  5. Frozen
  6. Dry goods, canned and jarred, pasta and rice
  7. Snacks, tea and coffee
  8. Drinks
  9. Household and cleaning
  10. Toiletries and personal care

Walk your own shop once and note the actual order — it varies, and a list matched to your store is worth more than one matched to a generic layout. Then keep that order permanently. The heaviest and coldest items ending up last is a bonus: frozen food spends less time out of the freezer, and bread doesn’t travel under a bag of potatoes.

Two things worth copying from this. The ticked items are ones already in the cupboard, marked during the pantry check rather than crossed off in the shop — so you don’t buy a fourth bottle of olive oil. And the week’s meals are written at the foot, which is what the list was built from and what stops you arriving home with ingredients that don’t make anything.

The Master List Method

Writing a list from scratch every week has a built-in flaw: you can only list what you happen to remember, and the things you forget are the things you never think of.

A master grocery list fixes it. You build one sheet, once, containing everything your household ever buys — grouped by aisle — and print a copy each week. Then shopping prep is ticking, not writing: you go down the sheet, mark what’s needed, and you’re done in three minutes with nothing missed.

It takes about half an hour to build the first one. The quickest way is to work from last month’s receipts rather than from imagination, then add the awkward items you buy every few months and always forget — baking paper, batteries, light bulbs, pet food, bin bags. Add to it whenever you notice a gap, and reprint every few months.

The master checklist templates below are set up for exactly this, and it’s the single change most likely to make your shopping faster.

Before You Go: Check the Cupboard

Five minutes with the cupboard, fridge and freezer open, list in hand, before you leave. It’s the least glamorous step and the one that saves the most — most households discover they already own two of something on the list, and duplicate buying is where grocery money quietly goes.

Tick what you have rather than deleting it, as in the example above. Keeping the line visible with a tick beside it means next week you can see at a glance that the olive oil was fine last time and probably isn’t now.

Shop From the Meal Plan, Not From Memory

The most reliable way to come home with ingredients that combine into meals is to decide the meals first. Pick five or six dinners, list what each needs, and build the grocery list from that — rather than buying things that look useful and improvising later, which is how half a courgette ends up in the bin.

It also shortens the list. Planning meals that share ingredients — a bag of spinach across two dishes, one pack of chicken across two nights — buys less food and wastes less of it. A menu planner and a grocery list are really one document in two parts: plan on the left, shop from the right.

Diet and Occasion Lists

Several of the templates above are pre-populated for particular ways of eating, which is most useful when you’re shopping to a restriction you’re still learning:

  • Keto and low-carb — heavy on meat, fish, eggs, dairy, and low-carb vegetables, with the high-carb staples deliberately absent. Useful early on, when the hard part is knowing what to buy instead of pasta and bread.
  • Vegan — plant proteins, alternatives to dairy and eggs, and the fortified items worth watching for. Handy for the first few months and for anyone cooking for a vegan guest.
  • Gluten-free — naturally gluten-free staples plus the substitutes, and a reminder to check labels on the products where gluten turns up unexpectedly, like sauces and stock.
  • Pantry staples — the standing list of dry goods and basics to keep topped up, separate from the weekly shop.
  • Occasion lists — a BBQ or holiday list, where you’re buying for a specific event rather than a week. Pesach and festival lists work the same way: a one-off shop with its own rules.

Treat any of them as a starting point rather than a prescription — edit it to what your household actually eats, and it becomes your master list for that way of eating.

Keeping to a Budget

If groceries are the category that always overruns, two additions to the list help more than willpower:

Write the budget at the top, as in the example. A number on the page you’re holding is a different thing from a number you agreed at the kitchen table last Sunday.

Add a price column for the items that move the total — meat, fish, cheese, coffee, anything you buy in quantity. Pricing the whole list is tedious and unnecessary; pricing the eight things that make up half the bill takes a minute and tells you before the checkout whether you’re over.

Beyond the list itself, the reliable mechanics are dull and effective: don’t shop hungry, take a basket rather than a trolley for a short list, and check the unit price rather than the pack price, since the bigger pack isn’t always cheaper. If groceries are a recurring problem in your monthly budget, tracking what you actually spend for a month usually reveals the answer faster than cutting blindly.

Frequently Asked Questions

How should I organize a grocery list?

By aisle, in the order your own supermarket is laid out — typically produce, bakery, meat and fish, dairy, frozen, dry goods, household, then toiletries. It turns a zig-zag through the store into a single pass and means you walk past fewer things you didn’t come for.

What is a master grocery list?

A pre-printed list of everything your household buys, grouped by aisle, that you tick each week rather than writing from scratch. It’s faster and it catches the items you routinely forget, because you no longer have to remember them.

How do I make a grocery list in Microsoft Word?

Use a two-column table with a category heading in bold at the top of each group and checkbox characters (?) down the left. Save a blank master copy and print it weekly. Or start from one of the templates above with the categories already set up.

Is it better to shop weekly or monthly?

A hybrid usually works best: a monthly shop for dry goods, cleaning products and toiletries, and a weekly one for fresh food. Monthly shopping for produce means either waste or a second trip, and weekly shopping for bin bags is a waste of the trip.

How do I stop overspending on groceries?

Write the budget on the list, check the cupboard before you go, plan meals so ingredients overlap, and price the handful of expensive items rather than the whole list. Shopping from a written list at all is the single biggest factor — most overspending is unplanned rather than extravagant.

What should a pantry staples list include?

The dry and long-life basics you cook from rather than the week’s fresh food: oil, pasta, rice, flour, tinned tomatoes and pulses, stock, salt and spices, tea and coffee. Keep it as a separate standing list and top up what’s low rather than rebuying it all.
